Job Statement: 

Under the general supervision of the International Programs Director, this position is responsible for the daily operation and administration of the International Programs Department. This position also assists in the planning, implementation and coordination of short-term student programs. This position serves to contribute to the enhancement of an environment that supports student learning and showcases HTIC as an American educational institution. 

 

Essential Functions:

  • Coordinate short-term programs to include scheduling, arranging activities and transportation, reserving classrooms and equipment, coordinating with instructors for teaching schedules and instructional materials and arranging meal requests.

  • Develop curriculum of IP programs in accordance with HTIC's Mission, IP's PLOs and exchanging school's goals.

  • Prepare and distribute program materials such as readers, supplies, and identification cards.

  • Prepare and disseminate program schedules to appropriate personnel. 

  • Create budgets, purchase orders, and fund allocations.

  • Provide administrative support to program instructors and chaperones.

  • Fill in for absent IP instructors or Activity Chaperones as needed. 

  • Translate and respond to verbal and/or written inquiries/statements concerning program or student matters from one language to another. 

  • Compile, organize, enter and maintain IP records.

  • Conduct program recruitment activities in and out of the country

  • Participate in administrative and/or academic committees and meetings.

  • Perform general administrative duties, such as filing, scanning, and photocopying.

  • Perform other related duties as assigned.

 

Minimum Qualifications:

  • Bachelor's degree in TESOL, Education or a related field from an accredited college or university at the time of appointment; or four years of related experience and/or training; or equivalent combination of education and experience which provides the required education, knowledge, skills and abilities as indicated.

  • Intermediate skills in word processing and spreadsheets. 

  • Meticulous organization and time management skills. 

  • Must be detail-oriented and accurate in duties performed.

  • Excellent customer service skills. 

  • Able to handle diverse projects simultaneously. 

  • Must be able to accommodate a flexible schedule (some weekends, evenings, and holidays).

  • Strong language proficiency in English and Chinese, Korean or Japanese including advanced reading/writing and listening/speaking skills. 

  • Have a valid driver's license.

 

Preferred Qualifications: 

  • MA degree from an accredited college or university at the time of appointment in TESOL, Education or related field.

  • Previous work experience in a school setting. 

  • Previous experience working with international populations.

  • Previous study abroad experience.

  • Previous event coordination experience. 

  • First Aid, CPR, AED certification. 

 

Schedule:

Monday-Friday, 8:00 a.m.-5:00 p.m. (evenings, weekends, and holidays may be required; start and end-times may vary) with 30-minute lunch

Physical and Cognitive Requirements:

  • Repetitive movement of hands and fingers through typing and/or writing.

  • Regularly required to sit, stand, walk, and reach with hands and arms. 

  • Occasionally required to climb or balance; stoop, kneel, or crouch.

  • Occasionally required to lift, pull, move, and/or push up to 20 pounds.

  • Able to talk and hear.  

  • Operate a computer terminal and a variety of office equipment.

  • Read, analyze, and interpret written data (text and numeric).

  • Interpret written and/or verbal instructions. 

  • Synthesize information from multiple sources. 

 

Work Environment: 

  • Works primarily in a modern, air-conditioned office environment. Occasionally works in a variety of outdoor environments. 

  • The noise level in the work environment is usually quiet to moderate. 

  • This role uses standard office equipment, such as computers, phones, photocopiers, and fax machines.
