Job Title: Intake Admissions Coordinator

Department: Men/Women’s Resident Ministries

Reports To: S.V.P. of Program & Sr. Director of Programs

FLSA Status: Regular, Non-Exempt/ Full-Time

SUMMARY:

Demonstrate Christ-like behavior and attitude in all job duties and responsibilities. Under the leadership of the Sr. Director of Programs, the Intake & Admissions Coordinator will work to ensure smooth coordination of all intake and admissions processes, and assist with overall program operations by performing the following duties:

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Administers all program intakes for all prospective program-related clients.
  • Responsible for gathering information that will assist case managers in determining whether a person meets the appropriate criteria.
  • Assists prospective clients by filling out multiple forms and gathering the history of past treatment.
  • Coordinates administration of all incoming applications and referrals.
  • Conducts Client Track and other Intake assessments for all new program clients.
  • Responsible for all intake and admissions administrative documentation and quality file management.
  • Arranges for psychological evaluation or any other required services for prospective clients, in collaboration with an assigned case manager or other staff person.
  • Coordinates Client Track documentation as relevant to intake & and admissions.
  • clients’ new clients or guests to mental health for assessment when necessary.
  • Reviews all admissions documentation with and after admission including the program policies and procedures prior to and upon admission to ensure quality control and HIPPA compliance.
  • Maintains accurate student files both paper and electronic versions.
  • Participates in efforts to bring in new clients and establish a program waiting list in alignment with program recruitment efforts and outreach referrals.
  • Requires the ability to function as a good team player with strong interpersonal skills.
  • Conducts initial assessments of patients to determine mental health needs and establish care requirements.
  • Answers questions for all prospective clients regarding all program services offered and reviews program materials upon approved admission.
  • Assist case managers in scheduling initial mental health assessments with partnering organizations.
  • Coordinates with a wide range of provider agencies to ensure seamless integration into the designated program and site facility.
  • Possesses the ability to remain calm under stress and to de-escalate any prospective client if they become agitated for any reason during the intake process.
  • Possesses the ability to engage in active listening to help prospective and referral clients formulate a next-step plan of action.
  • Refers prospective clients to appropriate community resources if deemed a better fit to ensure that the prospective client’s comprehensive needs are met.
  • Serves as a vital member of the Mission-wide support system, during all major Mission-wide events, as deemed appropriate, and upon request of immediate supervisor.
  • Interfaces with the outreach team and other partnering organizations to manage all soft handoffs through quarantine protocol, as seemed appropriate.
  • Knowledgeable of and operates in compliance with all HIPPA-relevant guidelines.
  • Knowledgeable or agreeable to learning application of SUD Core Competency guidelines.
