Job Description:
Avoca Risk Underwriting Solutions (ARUS) is the Central Operations Company that provides support to several sister underwriting companies. Due to the company’s consistent annual growth, we are currently seeking an Insurance Operations Assistant to work closely with the Operations Team from our Chicago, IL office.
This office-based position will provide support to Property & Casualty underwriting staff through the ARUS Operations Team, reporting directly to the SVP of ARUS Operations. In this role, you will be working with brokers, our underwriters, and outsourcing company, to assist in processing bound business including policy issuance, inspections, and cancellations. The ideal candidate will be capable of mastering multiple systems and have experience working in a paperless environment. Proficiency in MS Word and Excel and having a strong customer service approach are key factors for success in this position. This position will also act as the Office Manager for the Chicago branch to greet visitors and provide general administrative support to the office. Job Responsibilities:
Insurance Operations Assistant:
· Work with Inspection companies & outsourcing company to ensure timely inspections.
· Enter new Brokers into company operating system.
· Verify Surplus Lines Licenses and maintain records in company operating system.
· Coordinate Notices of Cancellation & Non Renewal with outsourcing company.
Office Manager:
· Order office and Kitchen supplies.
· Supervise and Coordinate all administrative activities as it relates to the office.
· Administration of the Chicago Office Attendance Records/Time keeping.
· Interact with clients, vendors and visitors and ensure that guests are taken care of, brought to appropriate rooms and all meetings are on track for the day.
· Work with building management for visitor passes, new employee key cards, emergency office drills, office repairs and general maintenance, etc.
· Order Marketing materials.
· Pick up mail daily from building suite mailbox and distribute accordingly.
· Post checks to the bank.
· Work on special projects.
Qualifications, Education & Experience:
Knowledge of commercial insurance or reinsurance experience preferred but not essential.
- Proficient in MS Office, including an intermediate knowledge of Microsoft Excel.
- Bachelors degree.
Knowledge, Skills & Competencies:
- Thorough attention to detail and organizational skills.
- Strong desk management, written and verbal communication skills.
- Comfort level with developing rapport with business partners, underwriters, clients and co-workers by phone, email or in person.
- Ability to prioritize competing demands and requests to complete work within required time constraints with a high volume of work.
- Demonstrate strong analytical skills and mathematical aptitude.
- Proficiency in using online reference manuals and multiple electronic systems.
- The ability to work in a team environment and handle multiple deadlines with ease.
