Job Title:                                            Human Resources Specialist

Location:                                            Northfield and Winnetka Campuses
Work Hours:                                      7:30 a.m. until 4:00 p.m.
Supervisor:                                        Director of Human Resources
 
Position Outcomes:
To assist the Director of Human Resources by providing support and coordination of the recruitment and hiring process, educator licensure, managing the employee and internship recruitment process, support staff onboarding and exit interviews, in addition to other Human Resources and general functions as needed. This employee must be outgoing and welcoming while also being able to handle complex sensitive matters with a high level of confidentiality and discretion. This person is responsible for a wide variety of Human Resources administrative responsibilities, including but not limited to talent acquisition, records maintenance and management, onboarding and offboarding, and training programming.
 
General Responsibilities:
This is work involving specialized tasks related to all Human Resources operations for the district. There is considerable contact with staff, outside officials and the general public, and occasional contact with students and parents. An employee in this position must possess exceptional organizational skills, exercise initiative and independent judgment, and keep informed of procedures and requirements. This position also requires the employee to be aware of and maintain the highest level of confidentiality of information.
 
Qualifications:
Bachelor's degree or equivalent experience in Human Resources
 
Knowledge/Abilities/Skills:
  1. Knowledge of standard office practices and procedures and familiarity with office equipment.
  2. Advanced knowledge of Microsoft Office and Google Suite programs and ability to learn new software applications.
  3. Knowledge of and ability to use the Internet and web-based systems.
 
  1. Ability to organize multiple tasks, prioritize work, and interact professionally with numerous individuals.
  2. Ability to work independently and with supervision.
  3. Ability to organize office workflow, demonstrate flexibility and adaptability, and work collaboratively with several individuals to support the work of the administration.
  4. Ability to assemble and organize data and prepare reports from records. 
  5. Ability to move around frequently in the office area as well as in other areas of the building.
  6. Ability to plan and look ahead, anticipating timelines and deliverables.
  7. Ability to multi-task and prioritize conflicting demands within tight deadlines.
  8. Analytical skills and problem-solving aptitude; and strong attention to detail and proofreading.
  9. Exemplary interpersonal skills and ability to communicate clearly and distinctly with staff, students, parents, and the general public.
 
Position Expectations:
  1. Assists the Director of Human Resources by:
    1. maintaining the online application system and providing the training associated with it; monitoring application status;
    2. maintaining records for, and assisting staff with Illinois State Board of Education licensure;
    3. organizing the recruitment of new employees by posting and advertising positions and interviewing potential candidates as appropriate;
    4. coordinating annual job fair recruitment program and attending job fairs, virtual and in-person to interview and recruit employees; distributing information gathered to departments as appropriate;
    5. coordinating the hiring process for all staff, including communications with other departments and applicants, assisting department hiring committees and arranging administrative interviews for faculty candidates;
    6. coordinating all recruitment branding using New Trier HR social media accounts and serving as the liaison to the Communications Department to create advertisements and other recruiting materials;
    7. creating, organizing, planning, and presenting various forms of onboarding, orientation, and skills training for all new support staff employees, including but not limited to, initiating the welcome processes, conducting new hire orientation, training, and assisting hiring managers with various onboarding steps;
    8. overseeing all aspects of intern and student teacher recruitment, placement, onboarding, training, performance assessments, and mentoring; and working with the Director of Human Resources and the college/university placement offices to address any concerns related to intern conduct or program experience; and
    9. creating and maintaining all new employee files, status changes, new employee IDs, completing appropriate data entry (Skyward) for new employees, and follow up to ensure personnel files are complete with all required paperwork.
  2. Provides general Human Resources Department by:
    1. communicating all status changes;
    2. generating and distributing faculty letters with required information the first week of school;
    3. providing data analysis and reports using the Human Resources database (Skyward)
    4. generating correspondence and handling documents related to confidential matters (such as discipline, legal matters, and negotiations) as directed;
    5. coordinating all annual compliance training and maintain database of participation information for district employees and Compliance Audits;
    6. organizing and implementing execution of the New Trier Education Support Professional Orientation;
    7. providing support for special events (substitute orientation, Northwest Personnel Administrators meetings, etc.); and
    8. working with other members of the Human Resources Office staff to complete projects of a joint nature.
  3. Assists staff, the general public and students by answering their questions and directing them to appropriate resources.
  4. Represents the New Trier High School District in a professional and positive manner.
  5. Partners with external organizations such as local high school districts, colleges and universities and various other agencies.
  6. Continues job performance enhancement by participating in appropriate professional growth activities.
  7. Exhibits a positive attitude and projects a positive image to parents, students, and staff.
  8. Performs other duties as assigned by the supervisor.
