Job description

We need an experienced Human Resources person with experience with an HRIS system, ATS system, Training system, Payroll processing, and manual personnel files.

SUMMARY:

Assists in all Human Resources duties and responsibilities. The individual chosen must possess excellent communication skills both written and verbal. You should also have experience with personnel paperwork and Human Resources systems. Provides orientation, safety and compliance training for all employees. Assists with the secretarial, clerical and administrative support from within the Human Resources Department. Assists with various aspects of payroll, such as posting and recording leave time, proper recording of hours, etc., under the direct supervision of the Director of Human Resource


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  1. Preparing or updating employment records related to hiring, transferring, promoting, and terminating
  2. Explaining Human Resources policies, procedures, laws, and standards to new and existing employees
  3. Ensuring new hire paperwork is completed and processed
  4. Informing job applicants of job duties, responsibilities, benefits, schedules, working conditions, promotion opportunities, etc.
  5. Processing all personnel action forms and ensuring proper approval
  6. Overseeing hiring process, which includes coordinating job posts, reviewing resumes, and performing reference checks
  7. Completes/conducts new employee orientation which includes, but is not limited to the following:
    1. initial background screening, to include fingerprints, references, etc.; advises Director of results.
    2. inputs new employee data/information into ISolved.
    3. explains initial orientation process and documents (assures that all required documentation is scanned into ISolve and in the employee file for processing).
    4. makes changes/additions to appropriate systems and files.
    5. update learning and evaluations follows up in 30, 60, 90, yearly, and expiring certs.
    6. sets up initial HIV/BBP, HIPAA and Zero Tolerance training as required for all new hires.
  8. Maintains, on an ongoing basis, employee training and personnel files that meet record keeping and confidentiality requirements in hard copy files and in ISolve.
  9. Monitors employee "certifications, testing, and training", ensures that all required medical testing (i.e., TB, physicals) is completed timely; monitors training renewal requirements and advises supervisory staff of same prior to due date; ensures that 5-yr. rescreening is completed timely, etc. Provides necessary forms as needed or due.
  10. Prints/distributes employee "event" reports to department heads, to ensure that all missing/due items are completed timely - rescreens, evaluations, etc. Follows up to ensure timely completion of same.
  11. Must be able to perform secondary Human Resources needs including payroll, employee relations, and reporting needed by other departments.
  12. Ensures employee confidential and personnel files are up to date by filing any posted documentation on at least a weekly basis.
  13. Performs other duties as required or assigned by the Director of Human Resources.

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: High school diploma or general education degree (GED); minimum 2 years' experience in Human Resources and payroll required.

LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write trainings, presentations, routine reports, and correspondence. Ability to speak effectively one on one, in a classroom, to all levels of public/customers or employees of organization.

OTHER SKILLS AND ABILITIES:

  • Excellent verbal and written communication skills.
  • Strong organizational skills.
  • Knowledge of ISolve or other HCM/HR systems helpful.
  • Ability to set work priorities based on work load and urgencies; works well under pressure.
  • Ability to deal courteously, tactfully and efficiently with clients, staff members, management and the public.
