Job description

Responsibilities:

· Assist in performing a variety of payroll functions such as entering employee information into the payroll system including but not limited to, deductions, benefits, and taxes.

· Assist in processing hours worked, printing checks and completing regular reporting requirements and billing duties.

· Assist in performing a variety of accounts payable functions such as entering and reconciling invoices and bank statements, posting to the general ledger, and printing checks.

· Assist in the coordination of the self-funded employee health insurance program and related activities including acting as the liaison to the third-party administrator, processing billing, and assisting employees with questions and enrollment.

· Assist in compiling and preparing reports, estimates, and account summaries using applicable software and computer systems to extract and organize data.

· Work collaboratively with other City employees to address and resolve concerns, provide assistance, and support the overall functions of the department.

· Meet with citizens to assist with general questions or to address concerns and complaints.

· Provide effective and efficient customer service, which promotes and maintains a culture of responsive community relations.

· Demonstrate some level of independent judgement and discretion in carrying out job responsibilities and making position related decisions.

· Demonstrate sensitivity, understanding and respect of all City employees, residents, and visitors.

· Keep up to date on industry trends and maintain required training, licensure and/or certification.

· Follow safe work practices and adhere to policies, procedures, ordinances that have been adopted by the City.

Experience:

High school diploma or equivalent, including two (2) years of experience in payroll, accounts payable or office administration; or any equivalent combination of training and experience which provides the following knowledge, ability and skills:

· Current office equipment, phone systems, computer software and office practices.

· Regulations, laws, statutes, and policies related to the processing of employee payroll, and benefits including tax reporting.

· Accounts payable and reconciliation processes and procedures.

· Maintain a high level of accuracy and attention to detail.

· Maintain a high level of confidentiality and use discretion with dealing with sensitive issues and information.

· Understand and follow complex verbal and written instructions.

· Effectively communicate verbally and in writing.

· Maintain diplomacy and professionalism when responding to complaints or upset customers.

· Work independently and complete projects according to deadlines.

· Operating standard office equipment, including computers and word processing software.

· Learning new computer systems or software related to position responsibilities.

· Adhering to policies and procedures related to payroll and accounts payable records and document management.

· Exercising good judgement, initiative, and resourcefulness in dealing with the public.

· Proofreading and reviewing own work.
