The Onboarding Specialist / Front Desk will provide a wide range of high-level administrative services and support to the Director of Talent Acquisition and Talent Acquisition Manager. The Onboarding Specialist / Front Desk will serve as a Business Partner to Hiring Managers by conducting the onboarding process for selected candidates.
Additionally, this role provides administrative services across all HR disciplines. It is responsible for representing the Human Resources Department professionally by answering incoming calls and properly routing them while also greeting and assisting Team Members, applicants, and vendors.
ONBOARDING:
- Provides high-level customer service in consulting with and guiding hiring managers to address comprehensive recruitment and staffing issues, policies, and processes.
- Serve as a Brand Ambassador at recruitment events, including College & University recruitment events, when required.
- Execute internal hiring events to attract talent and enhance brand recognition.
- Process transfers and promotions in our HRIS for hourly positions.
- Conduct onboarding functions for hourly positions.
- Assist Director of Talent Acquisition and Talent Acquisition Manager with special projects.
- Provide assistance to candidates through the onboarding process.
- Perform other related duties as assigned.
FRONT DESK:
- Demonstrate proficient telephone etiquette and excellent communication skills, ensuring that multiple lines are handled efficiently and messages are delivered in a timely manner.
- Respond to all Team Member and applicant inquiries in a courteous and professional manner via telephone, email, and/or in person.
- Provide administrative support to all areas of Human Resources and maintain a positive working relationship with all departments and team members. Apply all company policies, procedures, and practices on a daily basis.
- Assist in the administration of updating Team Member records, data entry, and filing confidential documents.
- Manage the Team Member badge identification system including issuing new name tags and Team Member badges as requested to include enrolling Team Members in biometric.
- Maintains safe and clean reception area and proactively monitor inventory of items.
- Supports the Director of Human Resources Operations as needed with special projects.
- Perform other related duties as assigned.
- Excellent computer skills, including MS Word, Excel, PowerPoint, and Outlook; knowledge of HRIS, specifically Paycom, preferred.
- An outgoing personality must possess excellent interpersonal, verbal, and written communication and the ability to respond to common inquiries in a fast-paced and high-volume environment while maintaining confidentiality.
- Exceptional customer service skills, superior interpersonal skills with an acute sense of detail.
- Ability to communicate effectively and establish and maintain effective working relationships with staff.
- Minimum of 1 - 3 years of onboarding or generalist experience. Previous hotel experience preferred.
- Able to work independently. Focused on delivering results and providing superior customer service.
- High school education or equivalent. College degree preferred.
