QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential
duty satisfactorily the requirements listed below are representative of the knowledge,
skill, and/or ability required.
1. Bachelor's degree required, and prior high level experience in personnel management.
2. Working knowledge of basic office procedures and the operation of common office equipment and machines.
3. Ability to accept responsibility.
4. Ability to maintain absolute confidentially.
5. Executive secretarial skills, including Windows XP and Microsoft AESOP, and Visions.
6. Excellent communication skills (oral and written).
7. Having previous experiences working in a school district and preparing ISBE reports.
JOB GOALS
The primary responsibility is to work as part of the district admin team focused on the mission and goals of the district and assist the Human Resources team in recruiting, hiring, training and retaining quality employees to support the mission. The position is designed for the purposes of managing assigned operations in accordance with district policies; providing information to the Board, superintendent, staff and the public; ensuring compliance to established policies, procedures and/or codes; and addressing a variety of administrative needs and processes.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Manage day-to-day operations of Human Resources area (e.g. administers methods, systems and procedures) for the purpose of maximizing efficiency
Maintains records covering certificated staff to insure precise and readily available responses to re quests for information on:
a. Staff and staff salaries
b. Leaves of absences
c. Early and regular retirement candidates
d. FTE allocations as needed for staffing - Manages multiple Human Resources database systems (e.g. IES, Time-keeping/Payroll-KRONOS, iVisions, AESOP) for the purpose of ensuring systems are functioning, providing accurate/timely information, and performing the intended service.

2. Vendor/Contractor Lliason to create contracts for contracted employees and submit for board approval
3. Opens and sorts mail in order of priority, handling matters that do not need to be referred to the Director of Human Resources.
4.. Prepares a wide variety of written materials (e.g. reports, memos, letters, policies, district calendar, etc.) for the purpose of documenting activities, providing written reference and/or conveying information for the Director of Human Resources..
5. Places and receives telephone calls and records messages. Handles all requests as a first resource, refers to the Director of Humans Resources only those that require his/her special handling.
6. Schedules meetings as requested. Makes appropriate room/space/refreshment arrangements.
7. Maintains check list for teacher evaluations and other reports to insure that those reports are available when needed.
8. Prepares and submits all state of Illinois reports each year.
9. Maintains files on all certified applicants.
10. Schedules appointments for interviews with prospective candidates with the Director of Human Resources and Principal. Sends interview evaluation form to each and follows up to insure that form is in candidate's file.
11. Makes certain new certificated staff members provide all required documentation for their personnel files.
12. Maintains up-to-date file on certification requirements and keeps apprised of same so that transcripts and certification of staff can be readily checked.
13. Maintains daily and monthly calendar of activities for the Director of Human Resources and herself.
14. Assists individuals applying for certification.
15. Assists in preparation and follow-up for state auditor's visits.
16. Handles staff request for various information.
17. Maintains filing systems and forms for the office.
18. Responsible for purchasing supplies and materials for the Office of Director of Human Resources, as well as processing invoices for payment.
19. Maintains personnel and insurance records on district database
20. Assists with employee problems dealing with pension and/or insurance claims for benefits for which they are entitled
21. Coordinates annual benefit enrollment, during which time employees may change benefits.
22. Maintains and monitors seniority and will-call lists for classified/exempt personnel
