The Human Resource Specialist will process and administer all leave-of-absence requests and accommodations, and provide assistance with benefits enrollments, status changes, and other general inquiries by associates and managers. Additionally, the HR Specialist will provide administrative support for various tasks such as discipline, and resignations.
ORGANIZATION
This position reports to the Human Resource Manager and has no supervisory responsibilities.
ESSENTIAL FUNCTIONS
- Communicates with associates and managers regarding the need for leave and/or modified work schedules. Ensures that associates are aware of their responsibilities of any documentation and notice required to qualify for and to take leave.
- Handles the FMLA and Non-FMLA leave administration process from the associates initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave type, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.
- Maintains reasonable communication with associates on leave to facilitate smooth and timely return to work; relays communication to managers on leave status.
- Advises managers and associates of the interaction of leave laws with paid/un-paid time off, and short-term and long-term disability benefits.
- Oversee the return-to-work process for associates returning from extended leaves.
- Facilitates other leave requests, which may include accommodation requests under the ADA.
- Maintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and the documentation of best practices.
- Assist with New hire and open enrollment benefit meetings as needed.
- Assist associates regarding benefit questions.
- Review and respond to unemployment claims with appropriate documentation.
- Preserves the confidentially of associate medical documentation and files.
- Maintains knowledge of all applicable leave and accommodation laws.
- Review, make suggestions/corrections, and HR approval of final writeups prior to issuing.
- Performs other duties as assigned.
KNOWLEDGE & EXPERIENCE
- Bachelor's degree in Human Resources or related field preferred.
- Two years of Human Resource experience required.
- Extensive knowledge of leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws.
- Excellent written and verbal communication skills.
- Excellent analytical and problem-solving skills.
- Excellent organizational skills and attention to detail.
- Proficient in Microsoft Office Suite or similar software a must
MACHINES & EQUIPMENT
The incumbent must be able to effectively operate the current computer system, telephone system, and other office machines such as a copier and scanner.
PHYSICAL REQUIREMENTS
Prolonged periods of sitting at a desk and working on a computer. Must be able to lift and carry up to 15 pounds. Must be able to talk, listen, and speak clearly on the telephone.
WORKING CONDITIONS
The incumbent works in an office environment that is not substantially exposed to adverse environmental conditions such as heat, cold, or extreme noise. Routine periods of being on the phone utilizing a headset, sitting and data keying are required.
Security and privacy training will be provided as part of this role to protect the confidentiality, integrity, and availability of PCS' associate and customer data.
