The VNA is seeking a Human Resource Information System Administrative Admin (HRIS Admin) to administer the agency’s electronic Human Resource Information System (HRIS). This position will maintain data for all associate records, including work, work related and personal information.
Responsibilities:
- Administer the agency’s electronic HRIS and other VNA databases to reflect accurate information about all associates and approved contracted staff. Coordinate associate information with Payroll, Accounting, Benefits, IT and other departments to ensure proper coding and set up of associate data.
- Maintain confidentiality about management decisions and associate information unless instructed to assist in communication by VP HR.
- Compile, format and generate reports necessary for VP HR and department to ensure compliance with Department of Labor, OSHA, and governing entities.
- Communicate with Payroll, IT and/or the vendor’s customer service team to ensure that the system is accessible and operating properly. Inform VP HR when issues arise with solutions if within scope of role or as suggestions for future.
- Verify employment and/or earnings of associates, former and current, following department and legal guidelines.
- Assist VP HR with gathering and processing of data involving employee relations, promotions, transfers, separations and other employment actions.
- Instruct associates on proper policies, processes and procedures, especially when related to information that may result in HRIS input.
- Perform routine audits to ensure department and agency compliance, including but not limited to associate files, contractor files, and I-9’s, to maintain zero findings. Communicate results, especially deficiencies or non-compliance to VP HR and as needed to respective manager.
- Provide associate information to governing agency personnel (AHCA; Joint Commission, etc) and report outcome to VP HR following interaction.
- Perform tasks related to new hire on-boarding, such as new associate access in HRIS, creating an Associate ID Badge, and other duties related as needed. Fill in for HR Specialist regarding routine duties if needed.
- Assist VP HR with other duties as needed to help deliver department products and services.
Qualifications:
- One year experience as administrative assistant, HRIS Administrator or combination. Payroll experience a plus.
- Experience supporting HR department a plus.
- Proficiency in Microsoft Office Suite. Advanced proficiency in microsoft excel and ability to create/modify fillable forms.
- Experience in document management software and/or programs a plus.
- Ability to handle highly confidential information
