POSITION DESCRIPTION


Position Title: Human Resources Specialist (Asst II) Job Code: Salary

Department: Human Resources Status: Exempt

Reports To: Human Resources Manager


The Human Resources Specialist (Assistant II) will provide general HR support to the HR department and management team by delivering excellent customer service in a timely, respectful, confidential manner. The HR Specialist will schedule and deliver new hire orientation/onboarding, data entry, pre-employment tasks such as validating rehire status, and onboarding for the hourly associates, time and attendance record keeping and employee relations support while also providing support for training and development initiatives.


Essential Duties and Responsibilities:

Recruitment

  • Participates in recruitment efforts by reviewing applications, scheduling interviews, initiating the pre-employment screening process and conducting interviews as needed
  • Review internal requisition forms for accuracy, posting jobs manually and electronically while adhering to posting timelines
  • Ensures that Human Resources has accurate and up-to-date background documentation
  • Collaborates with the HR team to support recruitment and employer brand activities such as posting, pre-employment screening, recruitment marketing campaigns
  • Schedules and assists in delivering hourly new hire orientation to ensure new employees are aware of and understand Company policies and procedures
  • Maintain all internal and external applicant activity by utilizing internal job posting procedure and applicant tracking system for external job postings

HRIS

  • Performs and/or coordinates employment records including but not limited to processing new hires, changes in job classification, transfers, merit increases, terminations and maintaining accurate records, etc.
  • Document, track, and assign training in the LMS
  • Responsible for performing weekly, monthly and/or quarterly audits
  • Ensures employee data integrity within the HRIS for all employees
  • Responsible for creation and proper maintenance of internal records, HR files and auditing all employee files and coordinates with the HR Team to ensure compliance

Communication

  • Maintains bulletin boards with current legal notices, company information, associate engagement events, and other news related to associates
  • Confidentially handle sensitive associate information and forward to appropriate HR team member


General duties:

  • Maintains knowledge of HR Practices and Policies along with local, state and federal employment laws
  • Lead or support HR initiatives/projects
  • Identify and communicate opportunities for process improvement to streamline processes and improve efficiency
  • Follow and adhere to all safety policies and procedures and participate in safety initiatives
  • Act as HR ambassador ensuring alignment with company mission, vision, and values
  • Performs all other duties assigned

Requirements:

  • Associate degree or 2+ years equivalent Human Resources experience
  • Preferred: Bachelor’s degree and 2+ years Human Resources experience
  • Familiarity with HR databases, HRIS, Applicant Tracking Systems, and Learning Management Systems
  • Proficient in using technology, Google Suite strongly preferred as this role is responsible for generating reports, managing multiple data sets and being the report expert within the team
  • Demonstrated ability to prioritize & manage time effectively in a fast-paced environment with excellent organizational skills

PHYSICAL REQUIREMENTS

  • Work is performed generally in an office setting, regular walking in non-climate controlled warehouse
  • Occasional: Standing, walking, sitting, climbing, typing, carrying, pushing, and bending for extended periods of time
  • Occasional: Lifting up to 50lb, raising and lowering objects under 35 lbs from one level to another
  • Occasional: Reaching below shoulders: Extending arms in any direction below shoulders
  • Occasional: Handling: Seizing, holding, grasping, turning, or otherwise working with hand or hands
