Job Description
We're hunting for an HR Employee Records Specialist, someone who's ready to be part of the best ranked children's hospital in Texas, and among the best in the nation. In this position, you will be responsible for performing moderately complex data management activities within the Employee Records Department of Human Resources. Daily tasks include data entry related to onboarding employees and non-employees, maintenance of employee files, and auditing, reporting, and correcting data daily. This position also answers applicant and internal/external customer questions. This position coordinates assigned tasks and assists members of the Human Resources Department. It also requires excellent attention to detail and accuracy. This position uses problem-solving skills and as appropriate ensures data integrity is maintained.

Job Duties & Responsibilities
  • Ensures required documents associated with new hires are complete, and in compliance with policies and regulatory agencies. Audits, enters, and maintains new hire data daily.
  • Proofreads all documents while verifying information and reconciling errors.
  • Ensures the integrity of system data, and makes updates as needed.
  • Reviews user procedure/workflow to ensure system features are working properly and being utilized effectively by self and others. Identifies system issues/errors, and alerts supervisor immediately.
  • Maintains and ensures compliance with organizational approval guidelines for database; reviews and approves or rejects all transactions for accuracy and conformity to policy guidelines.
  • Advises internal customers on best practice for system use and changes while providing accurate system data and maintaining confidentiality and adherence to corporate policies and deadline adherence. Frequently & effectively communicates with Talent Acquisition to ensure data accuracy.
  • License/registration/certification data entry and audits.
  • I-9, Work Visa and Subpoena data entry and audits.
  • Additional miscellaneous data entry, audits, and verifications.
  • Scans, files, and retrieves Employee Records information.
  • Participates actively on teams, committees, and special projects; interacts professionally with other members of the HR Team and leaders across the organization

Skills & Requirements
  • Being fully vaccinated against COVID-19, including any booster dose(s) of the COVID-19 vaccine recommended by the Centers for Disease Control when eligible, is required for all employees at Texas Children's unless approved for a medical or religious exemption
  • Required H.S. Diploma or GED
  • Required 2 years Human Resources, finance, position management and/or systems/database experience
  • An associate or bachelor's degree in human resources, business, finance, or information technology field may substitute for two (2) years of experience
