We are seeking a dedicated and detail-oriented HR Assistant to join our team and play a pivotal role in supporting various back-office functions, including recruiting, payroll, and quality management.

Role Description:

In this role, you will provide essential administrative assistance to the HR department, ensuring the smooth operation of HR processes and contributing to the overall effectiveness of our human resources initiatives.

Requirements:

Job Responsibilities:

Recruitment Support:

  • Assist in coordinating recruitment activities, including posting job openings, conducting phone screens, scheduling interviews, and communicating with candidates.
  • Maintain applicant tracking system (ATS) and ensure accurate and up-to-date candidate records.
  • Facilitate the onboarding process for new hires.

Payroll Assistance:

  • Support payroll processing by verifying timesheets, tracking leave balances, and assisting with payroll inquiries.
  • Collaborate with the finance department to ensure accurate and timely payroll transactions.

Quality Management Support:

  • Assist in maintaining quality management systems and processes.
  • Participate in audits and compliance checks to ensure adherence to quality standards.
  • Help in the implementation of quality improvement initiatives.

Benefits Administration Assistance:

  • Assist with open enrollments for health care benefits and plan year administration.
  • Assist with company retirement 401(k) savings plan admin compliance and admin.

Administrative Support:

  • Provide general administrative support to the HR department, including file maintenance, document preparation, and data entry.
  • Assist in the creation and maintenance of HR reports and metrics.
  • Assist with employee off-board process and terminations.

Employee Relations Support:

  • Assist in employee engagement activities and events.
  • Support HR initiatives aimed at fostering a positive and inclusive work environment.

Compliance Support:

  • Assist with annual corporate, federal, state, and local compliance administration.
  • Assist in maintaining compliance with relevant employment laws and regulations.
  • Support the documentation and reporting of HR-related compliance activities.

Miscellaneous Support:

  • Assist with government contracts management activities, as needed.
  • Assist with proposal development activities, as needed.
  • Assist with purchase activities, as needed.
  • At all times strive to promote a positive company image to all staff, management, and potential employees alike.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or a related field (or equivalent experience).
  • Ability to multi-task and operate effectively in an ever-changing environment.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong demonstrated skills with MS Office Suite, particularly Word, Excel and PowerPoint.

Preferred Skills:

  • Previous experience in HR or administrative roles is a plus.
  • Familiarity with HRIS (Human Resources Information System) and Applicant Tracking System ATS.
  • Basic understanding of payroll processes and systems.
  • Knowledge of quality management systems and processes.
  • Proficiency in Microsoft Office Suite.
