Job Summary
- This is a part-time position not intended to work more than 29 hours per week.
Job Functions
Essential Functions
- Performs reception functions:
- Greets customers, respond to routine questions, and directs them to the appropriate person.
- Answers telephones, directs callers to the appropriate person, and relays messages.
- Distributes forms/documentation/mail as requested.
- Assists department staff with scheduling appointments and meetings.
- Assists department staff with day-to-day office management tasks.
- Assists department staff with special projects/assignments.
- Tracks office supply inventory and assists with ordering supplies.
- Maintains confidentiality of departmental issues and documentation.
- Responsible for maintaining electronic personnel files including scanning all documents into the system.
- Responsible for handling new hire I-9 appointments.
- Other duties as assigned.
Non-Essential Functions
- Perform general/clerical tasks.
- Distributes various documents to departments.
- Provide assistance to other employees or departments as needed.
- Performs others duties as required
Qualifications
Skills, Abilities, & Other Requirements
- Knowledge of general office practices
- Ability to operate a computer; proficiency in various software including Word, Outlook and Excel
- Ability to effectively communicate with customers and co-workers
- Ability to provide the highest level of customer service
- Excellent interpersonal skills and ability to work in a team environment
- Ability to follow direction
- Ability to operate various office equipment such as fax, phone, etc
- Ability to maintain confidentiality.
Minimum Qualifications & Experience
Education and experience equivalent to high school diploma; supplemented by one (1) year previous experience and/or training involving general office work, reception work, and data entry. Experience in HR and/or local government is preferred.
Special Requirements
Must possess satisfactory results of a criminal history background check

Working Conditions
Must be able to lift 12-20 pounds. Must be able to operate office and computer equipment; may involve extended periods of time at keyboards or workstation. Must be able to communicate orally, and perceive and discriminate colors or shades of color. Essential functions are regularly performed without exposure to adverse environmental conditions.
