Hotel Front Desk & Guest Relations/Event coordinator
We are looking for a passionate Front desk clerk who is also passionate about using their creativity and innovation in event planning.
Job Responsibilities:
- Make reservations for individuals or groups
- Answer questions about hotel amenities, availability of conference space
- Develop an event management plan for events which includes comp set reporting, pricing, planned outreach with local vendors.
- Monitor the progress of the planning and execution of each task that has to do with the event.
- Serve as the primary contact between the event and third-party vendors
- Make sure staff adheres to the company event policies that are put in place to ensure a smooth, successful, fun-filled event.
- Greet all guests for each of your events upon arrival and upon conclusion of the event. The Front Desk/ Guest Relations coordinator is the primary point of contact for all aspects of the event from start to finish.
- Hours may fluctuate to evenings or weekends as needed to be present for events
- Responsible for planning and executing outreach and creating a plan that you will execute.
- Coordinate the flow of operations during an event to ensure that everything operates smoothly, including setup, breakdown, activities, and tear down.
- Participate and become a member of the local event planning committee.
- Take ownership of the event space to ensure it meets the needs of the client/customer. Attention to small details is critical.
- Coordinate with local staffing agencies for personnel to help with event coverage.
- Responding to leads within 24 hours of receiving them.
- Walking our guests through the entire process from start to finish and following up with the guest after they have their event with us to seek feedback.
- Hosting a weekly meeting to review the coming events.
- Compiling and updating a weekly booking spreadsheet that must be shared with ownership.
- Working with vendors/chef and creating custom menus for each of our events. Be mindful of special dietary needs.
- Other duties as assigned throughout Hotel Lex when events are not scheduled.
Qualifications:
- Prior experience in events planning-highly preferred
- Knowledge of HotelPlanner, VisitLex, and StaynTouch
- Excellent phone skills and communication skills
- Must be a cheerful, fun and energetic team player
- High school diploma or GED equivalent required.
