Job Description Summary

The Hotel Corporate Operations Coordinator will perform a variety of administrative and project coordination tasks to support Sonesta’s Hotels Operations Team. Reporting to the Senior Vice President, the Hotel Operations Coordinator will help contribute to the efficiency of our team by providing personalized and timely support to the Senior Vice President of Hotel Operations, individual team members and to the department as a whole. The role requires a professional with strong organizational skills, a desire to learn and grow, comfortable working with teams and exudes a culture of caring.
This role is located in our Corporate Headquarters based in Newton, MA and is hybrid 3 days in office and 2 days remote.

The individual will oversee all administrative efforts and support other Operations programs and projects as assigned. These responsibilities include, but are not limited to:


  • Function as the point of contact for the Hotel Operations Department among corporate and hotel employees and external partners/vendors.
  • Handle and work with hotels to resolve guest concerns, calls, and other operational challenges.
  • Provide administrative assistance, such as writing and editing e-mails, drafting memos, responding to guest/vendor phone calls, and preparing communications.
  • Coordinate schedules and visits from the Regional team members or hotel employees.
  • Schedule meetings, block meeting rooms, and coordinate meals and breaks for attendees.
  • Prepares for and follows up on internal and external meetings. When needed, participates directly in meetings, and conducts follow-up on the team’s behalf.
  • Assist with scheduling appointments and maintaining calendars as needed.
  • Assist with making travel arrangements and preparing expense reports.
  • Prepare Power Point presentations and spreadsheets for both internal and external audiences.
  • Create and manage/update the hotel roster and contact list.
  • Contribute to the success of Operations project teams by actively participating in the development, implementation, and support of new programs and initiatives.
  • Assist with the tracking, reporting, and communicating of performance metrics/measurements.
  • Maintain a basic understanding of Sonesta Brand and Hotel Operating Standards while also assisting in updating and communicating those standards.
  • Communication with other key Sonesta departments, including Commercial, Brand, Strategy/Innovation, Human Resources, Finance, and Legal, will be likely.
  • Regular communications with remote members of the Operations department.
  • Processes invoices and expense reports to support the team.

The ideal candidate is exceptionally organized and detail oriented, with excellent written communication and people skills, and demonstrates a strong attention to detail, can adapt to shifting priorities, and is comfortable working within a fast pace and dynamic environment. The candidate needs to be resourceful, innovative, and proactive to support his/her department and executive leaders. She/he must think independently to make decisions under pressure, have great time management skills and be able to act with minimal guidance.
This role is Hybrid, 3 days in our Newton Corporate Headquarters and 2 days remote.

Qualifications

  • 3+ years of demonstrated experience in administrative support or Corporate office role.
  • Well-developed and effective team skills; able to be an active partner in a cooperative and accountable team environment.
  • Strong organizational skills including attention to detail and prioritization.
  • Strong facilitation and people skills; self-starter, positive, high energy; demonstrated ability to work effectively with senior management, peers, and entry-level employees; ability to work cross-functionally to support meeting and exceeding customer expectations.
  • Ability to function as a positive role model to peers and team members.
  • Experience within hospitality or other similar industries is preferred.
  • Associates Degree required, Bachelor's Degree preferred.
  • Excellent Microsoft Office skills, including advanced skills with PowerPoint, Word, and Excel.

Pay Range

Pay Range: $35.00 to $40.00 per hour. Base pay offer may vary depending on various factors, including but not limited to job related knowledge, skills and job specific/overall experience
