ORGANIZATIONAL SUMMARY
The Coalition for the Homeless of Houston/Harris County (CFTH) acts as a catalyst, uniting partners and maximizing resources to move people experiencing homelessness into permanent housing with supportive services. Our vision is that everyone in our community has a safe place to call home. The Coalition acts as lead agency to The Way Home Continuum of Care, the local homeless response system in Harris, Fort Bend, and Montgomery counties.
ROLE SUMMARY
HMIS Training & Support Specialist is responsible for provider facing, customer service-oriented duties, including agency and user performance, troubleshooting, and help-desk maintenance as it relates to Homeless Management Information System (HMIS). This Houston, Texas based role reports to to the Manager of Data Systems.
RESPONSIBILITIES
Assist with help desk management with a understanding of the Coalitition's HMIS (Client Track) and Coalition's policies and procedures for system's usage.
Provide extensive in-person and webinar/virtual training to various levels of users on HMIS data collection platforms and their respective reporting features.
Stay current with and provide detailed training on HUD Data Security standards and policies.
Maintain training documents in line with current HMIS Standards and HMIS best practices.
Respond in a timely manner to requests for assistance.
Assist with troubleshooting data quality issues and production of reports as requested.
Communicate with all internal and external stakeholders to keep them apprised of pending changes to HMIS Standards and HMIS systems.
Assist, as requested, to troubleshoot validation errors and facilitate data transfers via Excel and other standard formats, create and review data quality reports, audit data quality, recommend corrective action, training topics, etc.
Ability to learn and develop new skills, including enhanced and effective teaching and training methods.
Assist with assignment of user IDs and passwords to new users, including collection of agency and user agreements.
Audit access to and usage of HMIS to ensure full participation and compliance by member agencies authorized to use system.
Assist in conducting agency site visits to verify agency compliance with Agency Participation Agreement and HUD Data Standards for NOFA scoring and to determine compatibility with any new programs/users.
Assist in planning and executing the HMIS Quarterly Forums.
Other duties as assigned.
REQUIRED QUALIFICATIONS, SKILLS AND EXPERIENCE
Bachelor's Degree, or associate degree and two (2) years in discipline or similar role and/or field, or high school diploma and three (3) years in discipline or similar role and/or field.
Experience working in areas of Training and data.
Experience with Client Track, HMIS and web tools and technologies.
Excellent written, oral communication, and listening skills with all levels of management, staff, and external clients, especially those who are not well versed with computers and technology.
Strong customer service skills and ability to positively diffuse user frustration and patience in interacting and Supporting users of varied skill sets and experiences.
Advanced ability to collaborate, manage client requests, and answer queries.
Adept at presenting in front of groups.
Ability to diligently track trainings, calls, and questions for internal reporting.
Excellent computer skills with attention to data details and high proficiency in Microsoft Office Suite.
PREFERRED QUALIFICATIONS, SKILLS, AND EXPERIENCE
Familiarity and competency with HUD HMIS Data Standards.
Experience in the development of technical training programs and end user documentation.
Previous experience as a trainer for online platforms.
Experience producing written and screenshot/video tutorials.
