POSITION TITLE: Help Desk / Communications Specialist

Position Summary:
The Help Desk/Communications Specialist is responsible for managing the outgoing communications functions of the Yakutat Community Health Center (YCHC) and developing a cohesive internal and external strategy for communicating all public and internal announcements. The tasks will vary in accordance with each department's request and submissions standards via Administration. Software and Hardware will vary with each task and personnel coordinating in the projects being undertaken.
The Help Desk/Communications Specialist is responsible for coordinating with IT Support Specialist in all basic information Technology (IT) support duties to ensure smooth delivery of technology services. Monitors, Operates, and assists YCHC personnel with the operation of computer hardware, software, and peripherals to achieve desired results. Utilizes computer equipment, software, and diagnostic tools to perform a broad range of customer assistance, production job, processing, equipment maintenance and repair and computer operations assignments. Requires minimum supervision and may act as lead when the need arises.
This position requires compliance with Health Center's compliance standards, including its Standards of Conduct, Compliance Program, and policies and procedures. Such compliance will be an element considered as part of the position's regular performance evaluation.
Essential Functions:

  1. Provides front-line end user technical assistance for computer hardware and software, smart phones, and other devises.
  2. Sets up and configures desktop computers and peripherals.
  3. Performs software deployments, software patching, asset management, licensing compliance, computer security, and tests programs.
  4. Troubleshoots, diagnoses problems, implements corrective action procedures within prescribed guidelines and /or escalates to other technical resources as appropriate.
  5. Sets up security access for new employees; disables access for terminated employees; manages changes to employee permissions.
  6. Manages hardware lifecycle, including decommissioning, surplus, and disposal of hardware and peripherals.
  7. Write and deliver press releases and all communication sent to the public.
  8. Coordinate with departments on special projects and events (such as grand openings for departments, facilities, introducing guests to the community, etc.)
  9. Coordinate the development, distribution and maintenance of all print and electronic collateral including, but not limited to, brochures, newsletters, e-newsletters, welcome packets for onboarding and/or visiting providers.
  10. Serve as Administrator and primary contact for utilizing AlertMedia with staff and public.
  11. Serve as administrator for all social media accounts.
  12. Manage media relations and maximize media opportunities.
  13. Coordinate webpage maintenance, ensure that new and consistent information (articles, links, stories, and events) are posted regularly.
  14. Create and deliver flyers locally and on social media.
  15. Work with all departments to communicate special events, closures, other information.
  16. Coordinate and/or assist with special projects as assigned or requested.
  17. Must comply with federal laws and regulations as required by the Health Insurance Portability and Accountability Act (HIPAA).
  18. Performs related duties.

  • Must be able to work well with others in a team approach to problem solving.
  • Experience in working with the Native American population preferred.

Work Environment/Physical Demands:
The environment involves everyday risks or discomforts that require normal safety precautions typical of such places as offices, meeting and training rooms, requiring use of safe work practices with office equipment, avoidance of trips and falls, observance of fire regulations and traffic signals. The work area is adequately lighted, heated, and ventilated.
The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. The employee must be able to read, write, speak, and hear.

Supervisory and Management Responsibility:
This position has no formally assigned supervisory responsibility or authority.
Minimum Qualifications:
  • Must be 18 years or older.,
  • High school diploma or equivalent, and specialized training in the field of work including college courses, certificate program, apprenticeship, etc.
  • (2) years of experience related experience, sufficient to understand the major duties of the position, and moderate knowledge of computer software and hardware and be able to troubleshoot basic problems.
  • Possession or ability to readily obtain a valid driver's license issued by the State of Alaska with a clean driving record.
  • Must successfully pass a criminal and background check.
