Job Description
The Guest Services Coordinator is a full-time, entry-level recreation professional position with solid growth potential in recreation programming. The primary role will assist the Guest Services Manager in the supervision and coordination of the Guest Services department, which includes operations software configuration, testing program configuration, supervising staff, and training staff as needed to ensure a smooth and efficient registration process.
The Guest Services Coordinator is responsible for performing various duties at the Guest Service desk, including internal and external communication, registration processing, and meeting customer needs.
In addition to the primary role, this position will be a bridge into recreation programming by building a solid operational foundation, forming leadership skills, gaining customer and community knowledge. There will be an opportunity for hands-on experience creating, developing, and operating recreation programs as needed.
Qualifications
Minimum one (1) year public-facing general office experience and either an Associate Degree or a minimum of three additional years of directly related experience with a high school diploma. Ability to effectively communicate with the public, providing quality customer service with prompt, accurate information. Must possess multitasking and problem-solving skills. Proficiency in primary Microsoft Office products is essential. Flexible schedule to include weekends and special events as requested. ActiveNet software experience is a plus.
Immediate Supervisor: Guest Services Manager
Duties and Responsibilities
- Supervision of the Guest Services Department in the absence of the Guest Services Manager.
- Assist with hiring, training, and scheduling of Guest Services support staff and seasonal Aquatics Center Guest Services staff.
- Assist Guest Services Manager with providing information updates to staff, program supervisors, and administration regarding the daily program or business operations.
- Computer registration processing, account updating, account reconciliation, and account access troubleshooting.
- Provide registration/program/rental information in person, by email, and via telephone.
- Work with the Superintendent of Recreation on program development opportunities.
- Participate in district special events and provide off-site registration.
- Coordinate staff transitions from day to night shift for Community Center and Aquatics Center Guest Services staff.
- Support program recreation staff by assisting with communication of program openings, class cancellations, and changes.
- Assist with the development of appropriate forms and administrative procedures to complement the registration process.
- Proofread each program brochure for accuracy.
- Handle money accurately including refunds, scheduled payments, and EFTs
- Reconcile delinquent accounts, collect late payments and enforce cancelation policies.
- Archive and maintain paper records for the agency using Illinois State Archives guidelines.
- Follow all established safety rules and regulations.
