Job Summary
We are seeking a proactive and detail-oriented individual to join our team as a Guest Services and Administrative Assistant. In this role, you will be responsible for ensuring a welcoming environment for all visitors to The Lyceum Resource and Conference Center, while also providing essential administrative support and facilities coordination to Forge City Works.
Key Responsibilities
Guest Services:
- Welcome and monitor all visitors to The Lyceum, providing a positive and professional first point of contact.
- Answer general questions about the conference center and Forge City Works, offering assistance and information as needed.
- Update the lobby info monitor with daily events, ensuring accurate and up-to-date information for visitors.
- Utilize the phone system to handle all direct calls to The Lyceum Resource and Conference Center efficiently.
- Give occasional tours to potential clients, showcasing the features and benefits of The Lyceum Resource and Conference Center.
- Prepare designated conference spaces for meetings, coordinating food and beverage requirements, amenities, and providing computer or teleconferenceassistance.
- Maintain the cleanliness and organization of amenities supply areas.
Administrative Support:
- Organize, track the need for, and request office supplies, amenities supplies, and building maintenance needs.
- Open, sort, and distribute mail promptly and accurately.
- Record incoming checks in the check log, making appropriate copies/scans for documentation.
- Enter donations into the organization's donor database and process/mail acknowledgment letters in a timely manner.
- Provide clerical and data entry support to Forge City Works as needed.
Facilities Coordination:
- Act as a contact for facilities needs in the building and communicate them to POAH (Preservation of Affordable Housing), tracking and ensuring completio of tasks.
- Liaise with IT for technical issues related to the Lyceum and tracking the resolution of IT needs.
- Serve as the main daily contact with tenants in the building, addressing their needs and ensuring effective communication.
Preferred Qualifications:
- Previous experience in a Guest Services or administrative support role is preferred.
- Strong communication and interpersonal skills.
- Available to work occasional evenings and weekends.
- Proficiency in using office equipment and computer software, including MS Office Suite.
- Ability to multitask, prioritize, and manage time effectively.
- Attention to detail and a commitment to maintaining a high level of accuracy in tasks.
- Bilingual: Spanish is a plus.

Job Type: Full-time
Pay: $18.00 - $25.00 per hour
