Job description

Job Title:Grants Coordinator

Department: Finance

Reports To: Financial Controller

Job Summary: The Grants Coordinator is responsible for pre-award budget and proforma development, post-award monitoring and reporting, program sub-contract management, and grant closeout procedures for a small but growing portfolio of grants. These grants will advance population health goals as well as improve the services Cayuga Health provides in order to better achieve these goals. This position is an integral member of interprofessional grant-writing teams at Cayuga Health and serves as a liaison between Cayuga Health's Grant Writer and partnering writers, project staff, the finance team, and funders. Therefore, this role requires commitment to both cross-functional collaboration within the organization and cross-sector collaboration with a range of community and academic partners. The ideal candidate will have strong analytical and project management skills, financial and budgeting experience, and knowledge of grant auditing and reporting practices.

Job Responsibilities include:

  • Work closely with Grant Writer, Community & Academic Partnership Manager, and others involved in grants for Cayuga Health
  • Support the development of organizational processes and tools for grant management
  • Inform the development of grant proposal budgets, budget justifications, proformas, and resource management plans
  • Lead the coordination and submission of financial information required in grant applications alongside other members of the Cayuga Health grants team
  • Lead the review and approval of expenses or other submission requirements (e.g., paper vouchers and electronic spreadsheets) prior to their entry into the financial management system.
  • Ensure that grants are within budget and that expenses are charged to appropriate cost centers
  • Monitor spending against grants to ensure annual targets are met and ensure alignment with the organization's forecast
  • Ensure compliance with granting organization's regulations and requirements, including reporting protocols, reporting templates, approval policies and procedures, and award close-out procedures
  • Respond to all grant report submissions deadlines, audits, and questions
  • Prepare work papers and analysis for annual audits
  • Participate in meetings related to all grants
  • Other appropriate responsibilities not noted above

Requirements:

Education - Bachelor's degree in an accounting, business, healthcare administration, nonprofit administration, or related field. Master's degree in a related field preferred.

Experience - At least 2 years of experience in nonprofit administration, grant writing or grants management, preferably in a medical or community health setting.

Robust knowledge of the grant application process, public funding sources, and the private philanthropic community. Strong analytical skills and ability to convey complex information in a clear manner to a diverse audience. Ability to work independently, be part of cross-functional teams, and be self-motivated to set priorities and manage multiple priorities under minimal supervision. Ability to work under pressure and respond to deadlines without sacrificing quality. Demonstrated interest in the mission, vision and values of Cayuga Health System.

This position can be 90% remote, with an estimated 10% of time necessary for in-person meetings.

Licensure - N/A. Certified Grants Management Specialist credentials a plus.

Physical Requirements - 90% sitting; 10% standing
