Job Description
Reports to: Program Manager Full-Time, Salaried Position
The coordinator will perform activities related to the grant and Scholarship programs at the Foundation, including processing of daily activities, software programs, distributions, committee meetings, donor relations, and events. Responsibilities are, but not limited to the following:
- Supporting and assisting in scholarship and grant processing
- Exhibiting a professional, courteous, and friendly demeanor
- Willingness to promote the WFACF Mission
- Maintaining an excellent working relationship with donors, applicants, nonprofits, committee members and third parties
- Understanding and following policies and procedures
- Working independently to prioritize, organize and multi-task efficiently and effectively while maintaining deadlines
- Working with sensitive, confidential information, while maintaining the highest integrity with the knowledge and information associated with the tasks assigned
- Leading a group of volunteers
- Representing the foundation in front of large groups
- Effectively maintain scanning and filing
- Providing support as needed for the annual giving day, Texoma Gives
- Assisting with ideas and preparing information for social media posts
- Database input and output related to scholarship programs
- Creating, processing, and tracking applications and forms for various cycles in the online software system
- Creating mail merge templates and forms through the online software, Microsoft Word, DocuSign, and Adobe Acrobat Pro
- Processing scholarship applications from submission through follow-up documentation
- Marketing and promoting scholarship programs with schools, colleges and third parties to ensure qualified applications are received
- Organizing and overseeing committee meetings including reporting, documentation, and meeting minutes
- Working with the Program Manager to develop and maintain scholarship administration guidelines and procedures to ensure legal and efficient operation
- Working with the Program Manager as needed to approve grant requests
You must have:
- A college degree or equivalent relevant work experience with emphasis in nonprofit, business/information technology or related field
- Three years experience in a computerized service-oriented organization
- Solid computer literacy in Microsoft Office
Even better if you have:
- Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and OneDrive
- Working knowledge of Adobe Acrobat, Zoom/Team Meetings, and database management
- Excellent communication skills, both oral and written in the English language
- Ability to work independently with effective work habits
- A strong attention to detail
Work environment:
- WFACF office hours are 8:00-4:30, Monday-Thurs., 8:00-3:00-Friday
- Occasional evening duties will be required (annual meetings, and various social functions)
- Travel as necessary to support programs in WFACF service area
- Will need to be able to lift up to 20 pounds
