Position Overview: The Grant Program and Administration Manager (GPAM) reports to and works directly with The Dorrance Family Foundation’s Executive Director. Responsibilities include managing the daily workflow and operations related to the grant life cycle and assisting the Executive Director with various strategic priorities to advance the Foundation’s mission and charitable impact. The position regularly interacts with potential and current grantees about the status of their application, award, and progress reports, reviews documents to ensure compliance with Foundation guidelines, criteria, and grant agreements, and manages the distribution of grant awards.
In addition, the GPAM interacts with the general public and community, attends meetings related to the Foundation’s work and interests, and manages grantee and potential applicant portfolios. The GPAM also assists with projects, events, research, presentations, and communications in collaboration with the Executive Director, working together to achieve the overarching strategies of the Foundation.
Essential functions include but are not limited to:
- Responsible for participating in proposal review and recommendation activities, as well as post-grant monitoring and evaluation, for a portfolio of grantees
- Participates in applicant and grantee site visits and interviews and gathers additional applicant and program information to assist the Executive Director in funding recommendations
- Actively researches prospective organizations and sectors
- Develops mutually supportive relationships with other community organizations, grantees, foundations, non-profit organizations, and philanthropic individuals and organizations
- Assists in building compelling PowerPoint presentations and materials for various Foundation needs
- Creates and maintains a master process and procedure guide for the grant lifecycle and workflow and document and records retention
- Improves, designs, and manages systems for the flow of information between the Executive Director and grantees, applicants, community partners, and external audiences
- Administers grant life cycle activities and processes, and provides site visit and on-location support when requested
- Develops, proofs, and implements routine reports, dashboards, special spreadsheets, and communications
- Proactively anticipates project needs and develops and manages timelines to ensure successful outcomes and deadlines
- Participates in meetings and drives action items with the Executive Director, grantees, stakeholders, and various constituents

Knowledge, Skills, and Abilities Required for Success and Performance in this position:
- Bachelor’s degree.
- Demonstrated background in professional, volunteer, or life experience, preferably in the grantmaking and geographic areas of interest to the Foundation.
- Minimum three years of relevant experience and demonstrated commitment to working with the non-profit community, preferably in the grantmaking and geographic areas of interest to the Foundation.
- Skilled relationship and project manager with excellent communication, organization, and prioritization skills. Able to balance multiple priorities in a fast-paced, sometimes unpredictable environment, with great attention to detail and thoroughness in completing assigned tasks.
- Ability to anticipate needs and next steps, take initiative, and respond to changing situations flexibly to meet the needs of the Executive Director and Foundation Board.
- Outstanding interpersonal skills and an ability to communicate effectively in person, virtually, in writing, and by phone at the highest levels.
- Collaborative style, combined with the ability and desire to work both independently and as part of a team, with little supervision.
- Ability to relate to diverse audiences and cultures in both the public and private sectors.
- Demonstrated diplomacy and ability to maintain and work with a high degree of confidential material and information related to the Foundation, the Dorrance family, and grantees.
- Ability to make independent judgments and coordinate office details in conjunction with policies and procedures.
- Ability to take initiative and consistently respond to changing situations flexibly to meet the needs of the Executive Director and Foundation.
- Ability to work virtually in a professional working environment.
- Ability to work flexible hours to adjust to the time zones and needs of the Foundation, including occasional early mornings, evenings, and weekends.
- Proficient with standard office equipment and Microsoft Office software (Word, Excel, PowerPoint), Apple/Mac computers and platforms, Jungle Lasers grantmaking software (training will be provided for software specific to the Foundation).
- The position is located in Hawaiʻi. The position is primarily virtual except for occasional meetings, events, and site visits, and requires occasional travel.
- The position does not have supervisory responsibilities.
Preferred Education and Experience:
Non-profit or foundation grant management, or development and stewardship experience.
Project or event management experience.
Physical Requirements:
This position requires the ability to drive, fly on an airplane, and operate a computer keyboard and standard office equipment. While performing the duties of this job, the employee is regularly required to stand, walk, sit, and talk or hear and may be required to lift or move up to 25 pounds and participate in activities that require hiking or walking on unstable surfaces and the ability to swim. Specific vision abilities required by this job include close vision, distance vision, and depth perception.

Pay: $95,000.00 - $115,000.00 per year
