The Gundersen Medical Foundation seeks a passionate Grant Allocations and Funds Specialistto play a vital role in managing our grant programs and ensuring responsible stewardship of donor funds.

What You'll Do:

  • Identify opportunities for stewardship to cultivate strong relationships across the organization and with our generous benefactors.

What You'll Need:

  • Bachelor's degree in a related field (e.g., non-profit management, public administration).

  • 3-4 years of experience in grant making/writing, grants management, or project evaluation/assessment.

  • Data-driven individual with a keen eye for detail and a commitment to accuracy.

  • Ability to foster strong relationships with internal and external stakeholders.

  • Ability to work on site in La Crosse, WI 3 days per week.

Job Description:

The Grant Allocations and Funds Specialist manages the Foundation's allocations programs and fund transfer processes to ensure they are delivered effectively within a context of service excellence, fiduciary responsibility and donor stewardship. This includes planning and implementing grant programs, encouraging grant applications, monitoring and evaluating approved grants, monitoring fund balances, needs and transfers and identifying opportunities for the stewardship of grants and fund usage across the organization and to our benefactors.

Major Responsibilities:

1. Ensure appropriate standards, policies and procedures are in place to achieve effective allocation programs.

2. Prepare and manage the development of fund program materials, including applications and guidelines, as well as monitor and evaluate all materials.

3. Manage inquiries, and the promotion of fund allocation programs to eligible applicants and organizations.

4. Support applicants and recipients regarding fund allocation program processes and procedures.

5. Assess all applications for eligibility and completeness prior to preparing them for the review process.

6. Prepare reports, discussion/ briefing documents and funding recommendations for review by the Foundation leadership and relevant review committees.

7. Provide support and act as key contact to allocation review committees and board committees as required.

8. Verify that committee volunteers are clear on their role and understand the key allocation process components including funding priorities. Recruit new members as needed.

9. Monitor progress and results of funded grant projects including final reports.

10. Work with Philanthropy and Marketing staffs on initiatives to promote and publicize outcomes and highlight grantees.

11. Supervise the accuracy of reports as needed for internal management and external accountability of the fund allocation process.

12. Utilize internal data management processes to gather, store and annotate relevant information pertaining to foundation assets.

13. Annually, prepare an estimated fund allocations appropriations budget for recommendation to the Investment Committee, Executive Committee and Board of Directors.

14. Monitor the transfer of temporarily restricted assets used to support Foundation operations on an ongoing basis. Partner with MEO and Research directors to review their needs and availability of funds.

15. Collaborate with Accounting in establishing temporarily or permanently restricted funds.

16. Collaborate with Accounting in retiring requisite temporarily restricted funds.

17. Maintain accurate records including but not limited to minutes and financial reports of the Fund Allocations Committee and Employees Helping Employees Emergency Fund Committee.

18. Ensure timely payout of approved grants.

19. Collaborate with philanthropy staff to create opportunities for meaningful donor recognition, bringing donors closer to the outcomes they are making possible, thereby demonstrating that the Foundation is fulfilling its fiduciary responsibility to deploy the funding as the donor intended.

20. Participate in partnerships and collaborative opportunities with other grant makers and nonprofit organizations, as appropriate.

21. Contribute toward the preparation of the annual report, content on the website, and other communications and outreach activities.

22. Complies with all Ethical Standards as written by The Association of Fundraising Professionals Code of Ethics.

23. Performs other duties as assigned.

Education and Learning:

REQUIRED

Bachelor's degree in a related field

DESIRED

Bachelor's degree in a health related field and additional coursework in grants, organizational skills, computer spreadsheets, philanthropy, business and accounting.

Work Experience:

REQUIRED

3-4 years in grant-making, grants management, evaluation and assessment of projects.

DESIRED

1 year experience in a non-profit environment; related to community based programming in health/social services sector; communication and collaboration across an organization, financial management/budget background
