Job description

The College Graduate office oversees all 2500 graduate students and all PhD, MA, MS, MFA, and other graduate degrees, plus minors and certificates, in the College. Our job is to make it possible for graduate students in the College to acquire the expertise they came to Indiana for, to pursue the research that inspires them, and to gain knowledge and experience as teachers and/or in other professions relevant to their degrees.
The mission of the office is to build upon those projects to improve the funding, and thus the quality and reputation of our graduate students and programs.
The College of Arts and Sciences is the largest academic unit at Indiana University Bloomington. It is composed of 40+ departments, 50+ Centers, Programs, and Institutes, while also including the Eskenazi School of Art, Architecture and Design, the Hamilton Lugar School of Global and International Studies, and The Media School.

Job Summary
Department-Specific Responsibilities

  • Screens (annually) applications for completeness.
  • Advises applicants of admissions standards and required preparation for successful admission.
  • Responsible for admission application review for College departments.
  • May review and process admissions at centralized college level.
  • Makes recommendations regarding admissions and financial aid decisions, contacts applicant regarding the decision of the admission application.
  • Processes admission documents within IU specific systems.
  • Performs systems data inputs and document maintenance related to admissions records.
  • Answers general program-related questions.
  • Coordinates virtual information sessions with admission committee.
  • Oversees and edits the department specific questions related to the Graduate application.
  • Provides admission recommendation and decisions.
  • Interprets academic policies and adheres to processes that align with policy compliance.
  • Ensures compliance with applicable regulations and policies.
General Responsibilities
  • Oversees the processing and evaluation of all applications for admissions into that school and accompanying material, such as transcripts, to determine eligibility.
  • Maintains records and databases of applications; updates and purges as necessary; gathers and collates information from records and prepares reports.
  • Reviews applications for completeness, contacts applicants for any missing information or to resolve discrepancies, and obtains any necessary information from other sources.
  • Schedules and oversees any applicant interviews.
  • Makes recommendations regarding admissions and financial aid decisions; contacts applicant regarding the decision on the admission application.
  • Responds to phone and email inquiries on admissions process and status of applications; may assist in the design of recruiting events and materials.
  • Counsels potential students regarding courses and grades required for admission.
  • May supervise temporary staff in the admissions office; monitors and evaluates job performance.
  • Maintains files and databases on students admitted into the school; generates reports based on this information.
  • May take on escalated and complex issues; may provide guidance to other admissions staff.
Qualifications
Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education.
EDUCATION
Required
  • High school diploma or equivalent (such as HSED or GED)
WORK EXPERIENCE
Required
  • 4 years office or related experience
Preferred
  • Experience in admissions, higher education, graduate education, marketing, or related field

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
