Job Summary:
Reporting to the Vice Dean for Academic Affairs, the Director is the strategic and operational leader for the Faculty Affairs Office (FAO) at Feinberg School of Medicine. The Director provides effective strategic planning, operationalization, execution, and evaluation of all administrative and functional aspects of the Faculty Affairs Office. This role oversees a broad portfolio that includes academic appointment processes for faculty and research staff (including postdoctoral fellows and research visitors) across the employee lifecycle; career development programming and initiatives; promotion and tenure evaluation processes; and other administrative responsibilities. The role oversees and provides supports regarding faculty and academic staff personnel matters, faculty promotion and tenure, faculty and academic professional development, leadership training, compliance reporting, workload and wellness policy, grievances and conduct investigations, and other issues related to academic personnel. The Director is the principal liaison with school and department leadership at Feinberg, the university (e.g., Provost's Office, Office of Postdoctoral Affairs), and affiliated hospitals and practice groups (e.g., Northwestern Medical Group, Northwestern Memorial HealthCare, Lurie Children's Hospital, Shirley Ryan AbilityLab) to align and implement academic appointment policy and procedure.

Specific Responsibilities:
  • Partner with internal and external stakeholders within Feinberg and across its clinical affiliate partners to align strategic priorities related to Academic Affairs.
  • Serve as the first point of contact for the academic affairs activities within Feinberg, including special appointment-related questions, postdoctoral researcher matters, and academic recruitment.
  • Serve as the administrative lead on academic appointment processes and procedures.
  • Review academic appointment processes and review reappointment and progression tracking for tenure track faculty and other academic appointees, including oversight and direction of the Annual Promotion and Tenure process.
  • Identify, recommend, and implement process improvements for cohesive management of academic career lifecycle. Identify recurring issues and looks for patterns, work to understand root causes, and develop resources or work with relevant stakeholders to address and resolve problems. Explore and recommend new initiatives to support faculty and generate strategies for measuring the impact of these initiatives.
  • Analyze and recommend hiring and recruitment plans and strategies, using data-driven metrics that align with Feinberg's mission. Partner with the Vice Dean to evolve/refine appointment definitions and processes with changing needs and organizational growth.
  • Review, develop, and implement appointment criteria, policy, and appointment processes. Lead continuous operational improvement to deliver high-quality equitable service.
  • Design workflows to improve efficiency and effectiveness of office operations. Lead the adoption of new and evolving policies, processes, and technology for Faculty Affairs within the FAO and throughout Feinberg.
  • Familiarity with IT systems necessary to manage the work of the office and process appointment transactions, including locally developed custom applications (e.g., FAO faculty and business plan database), enterprise systems (e.g., myHR, Faculty Recruiting System), and other vendor solutions (e.g., OnBase, Interfolio, Smartsheet)
  • Lead the evaluation and implementation of new technological tools in the Faculty Affairs domain.
  • Collaborate with FSM IT project management and software development teams to develop and enhance software applications, electronic workflows, and reporting, informing user interface and user experience design.
  • Review, identify and recommend changes and enhancements to faculty and research staff appointments, tracking, and appointment lifecycle milestones.
  • Communicate and collaborate with academic and/or administrative units, . Build strategic relationships across campus to influence processes and outcomes. Lead, develop, and deliver best practices and tools and/or resources for department professional affairs management.
  • Review and evaluate appointment trends, ensuring school-wide compliance with relevant policies and processes, and equitable application of policy and process; handle complex and unusual cases, advising School and department leadership and/or staff on process and/or policy application.
  • Structure and execute operational and strategic initiatives by developing work plans, gathering and synthesizing relevant data, doing research, and analyzing and developing final recommendations.
  • Represent Feinberg on specific university-wide planning working groups and committees; develop and maintain productive relationships with a range of stakeholders across the University, Feinberg and its clinical affiliates.
  • Maintain all policies and processes, including documents for faculty and/or research staff lifecycles, and guidelines on appointments, promotion, and tenure.
  • Lead and manage all operational aspects of the Faculty Affairs Office, including but not limited to, direction and oversight of all staff, financial management and budgeting, and other administrative responsibilities as appropriate.
  • Other duties as assigned.
Minimum Qualifications:
  • College degree required
  • 7+ years of experience with Faculty Affairs, promotion and tenure, or related experience
Preferred Qualifications:
  • 8-10 years of previous management experience
  • Master's degree or doctorate in relevant field
Target hiring range for this position will be between $107,049 to $150,539 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
