The Front Office Lead oversees the Front Office operations, ensures smooth and efficient processes, and provides exceptional customer service. This position involves assisting in administrative tasks, and maintaining a welcoming environment for clients and visitors. The Front Office Lead is responsible for coordinating various duties and responsibilities to support the efficient functioning of the organization.
Duties/Responsibilities include but are not limited to:
- Greet and assist clients and visitors in a friendly and professional manner.
- Address client inquiries, requests, and concerns promptly and courteously.
- Answer phones timely and professionally.
- Check-in and check-out processes, ensuring accuracy and efficiency.
- Maintain a clean, orderly waiting area.
- Oversee the day-to-day for a busy front desk and patient service center team to ensure demands are met
- Responsible for employee schedules and training of new hires at the front desk and the scheduling service center.
- Monitor inventory and orders of Front Office supplies and inventory for cosmetic products
- Maintain strict confidentiality related to medical records and other data. Comply with all company policies and procedures
- Update patient information and provide necessary forms for completion. Create a patient profile as required and according to protocol.
- Use a computer system to generate information necessary for billing, including insurance and PCP information.
- Collect copays or fees for services rendered and any past due/current balances.
- Reconcile daily charges and cash, checks, and bank card payments.
- Send/receive patient medical records following Health Insurance. Portability and Accountability Act (HIPAA) and other state and federal regulations.
- Perform other administrative tasks and projects as required.
Education and Experience:
- A high school diploma or equivalent is required.
- An associate's degree in a healthcare-related field is a plus but not required.
- Minimum of 2 years of experience in a Front Office position is required.
- Experience in dermatology, aesthetics, or plastics is required.
- Minimum of 1 year of experience in lead position is highly preferred.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
Job Type: Full-time
Pay: From $19.00 per hour
