Summary of the Position: The Front Office Administrator is responsible for answering incoming calls, directing calls to appropriate employees, greeting visitors/guests, distributing mail correspondence, ordering supplies as well as additional administrative duties as assigned.
Roles and Responsibilities:
- Open and close reception area (locking doors, turning off lights, television and computers)
- Professionally answer and direct all incoming calls within 2-3 rings
- Take and retrieve messages for various employees as requested
- Set-up offices and cubicles for new hires with appropriate supplies - support the administrative team
- Provide callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information
- Envoy Administration - Visitor logging system
- Check and update visitor calendar on a daily basis
- Update "Welcome Screen" as needed
- Greet and direct visitors and guests in a professional, friendly, hospitable manner
- Process applications in the recruiting log and send out thank you cards
- Perform clerical duties as needed for various departments (generating labels, mailings, samples, etc.)
- Assist Human Resources with interviews, applications and employee questions
- Set up meetings for Employees and/or Managers as needed with drinks, snacks, etc.
- Communicate effectively with other departments within the organization and function within a team environment
- Distribute weekly visitors log to executive management
- Create bi-weekly new hire packets for NEO
- Distribute monthly birthday cards
- Manage monthly Amex bill
- Order baby blankets and flowers for employees, as needed
- Send employee update email to executive management and corporate chaplain, as needed
- Assist Human Resources with special projects as needed Perform other assigned duties as may be required in meeting company objectives
Minimum Requirements: Must be customer service driven and possess excellent phone etiquette. Strong verbal communication and interpersonal skills with the ability to multi-task in a fast paced environment. Must be computer literate with knowledge of MS Office (Word, Excel, Outlook).
Attention to detail and some multi-phone line experience. Must be able to lift/move packages and materials weighing a minimum of 25 lbs.
Education and Experience: A high school diploma or GED with a minimum of 2-years' experience as a receptionist or Front Office administration.
