Job Purpose Summary:
- Responsible for overseeing the daily functions of the front office operations. Responsible for a variety of office functions including filing, answering the phone, organizing documents, basic money handling, and more. Reliability and a strong work ethic combined with great communication skills are a must, as well as familiarity with all necessary office equipment, software, and procedures.
Responsibilities Include:
- Set a positive atmosphere for clients and staff
- Provider Supervision to Front Office Coordinators
- Communicate with Regional Office Manager on various projects and initiatives.
- Answer phones at high call volume and direct to appropriate party
- Operate Office Equipment
- Receive and sort mail
- Perform Inventory and Order Supplies
- Facility Scheduling and appointment confirmations
- Obtaining Insurance information for existing patients
- Manage Appointments {Checking clients in and out)
- Assessing Missed Appointment Fees
- Assure all intake paperwork is complete and saved to chart
- Collect IDs and Insurance Cards and upload to Client’s chart
- Upload records and client documentation
- Collecting Copays
- Verification of Eligibility
- Complete Prior Authorizations
- Schedule and facilitate ADHD Screenings
- Clinical/Medical Documentation Support
- Communicate and facilitate appointment changes for specialty treatments
- Send MEND appointment links
- Send and receive correspondence and assignments on behalf of clinicians
- Track all D/C and R/0 and execute patient letters
- Manage RO Consent Forms
- Complete Prior Authorizations for medication refills
- Triage and coordinate medication processing with pharmacies
- Initiate and follow up on lab orders through LabCorp and Quest
- Request ROls, track and execute
- Patient de-escalation and crisis management
Job Type: Full-Time, Non-Exempt
Required education: High school diploma or equivalent, Associate’s Degree preferred
Required experience: Successful work experience in a front office setting or in another clerical position,
Strong working knowledge of office procedures and basic accounting principles, Ability to effectively use and maintain office equipment, Solid knowledge of Microsoft Office, Outstanding communication skills, Great organizational and multitasking abilities.
