Job description

We are a fully integrated real estate property management company looking for a Front Desk Secretary/Administrative Assistant to join our rapidly growing team. The purpose of this position is to provide support to the company by managing the Front Desk, performing a variety of administrative and clerical tasks, while routinely interacting with many clients, residents, vendors/contractors and colleagues.

Responsibilities:

  • perform general offices duties; such as answering incoming calls, filing, scanning, receiving and distributing all office mailing, etc.
  • Provide excellent oral and written communication skills to our residents, clients, vendors and contractors
  • manage inventory of office supplies and maintain office equipment
  • distribute and mail out all mail/packages to and from staff, maintaining Fed Ex/UPS account books
  • organize, prepare and mail out all property mail distributions
  • responsible for property reimbursements, reviewing and referencing receipt backup
  • support executives with special tasks/projects as needed

Skills:

  • Proficient with Microsoft Office, specifically Word and Excel
  • Knowledge of administrative/clerical procedures and systems such as word processing, managing files and records, and other office procedures
  • Excellent oral and written communication skills
  • Professional and friendly demeanor
  • Superior multi-tasking and organizational skills, being proactive and resourceful when issues arise
  • Ability to build professional relationships and gain trust and respect at all levels of the organization
  • Ability to thrive in a fast-paced and ever changing environment

Education:

  • High School Diploma required, Associates/Bachelors Degree preferred

Job Type: Full-time

Pay: $40,000.00 - $50,000.00 per year
