Job description

Position Summary

As the Onsite Front Desk and Office Clerk for our warehouse, you will be the first point of contact for visitors, clients, and employees. Your primary responsibilities include managing the Front Desk, providing administrative support, and ensuring efficient office operations within a warehouse environment.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Front Desk Management:
  • Greet and assist visitors, clients, and employees in a friendly and professional manner.
  • Answer and direct incoming calls, providing information and assistance as needed.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Assist potential candidates in applying to job openings.
  • Administrative Support:
  • Perform general clerical duties, including data entry, photocopying, and filing.
  • Assist in maintaining accurate and organized records, both electronic and physical.
  • Coordinate and schedule meetings, appointments, and conference room usage.
  • Assist potential candidates in applying to job openings.
  • Coordinate travel hotels for supervisors.
  • Cleanliness and Organization:
  • Regularly clean and organize the Front Desk, common areas, and office spaces.
  • Collaborate with cleaning staff to ensure a clean and hygienic working environment.
  • Encourage and uphold cleanliness standards among employees.
  • Warehouse Communication:
  • Serve as a liaison between the warehouse team and office personnel.
  • Communicate important announcements, updates, and information to employees.
  • Collaborate with warehouse supervisors to ensure seamless information flow.
  • Visitor and Vendor Coordination:
  • Register and badge visitors, ensuring compliance with security procedures.
  • Coordinate with vendors and service providers entering the facility.
  • Assist in monitoring access to secure areas within the warehouse.
  • Supply Management:
  • Monitor and replenish office supplies, ensuring availability for daily operations.
  • Place orders for office and kitchen supplies as needed.
  • Maintain an organized and tidy Front Desk and office area.
  • Health and Safety Compliance:
  • Enforce safety and security policies for visitors and employees.
  • Assist in coordinating safety drills and emergency evacuations.
  • Report any safety concerns or incidents to appropriate personnel.

Organizational Responsibilities:

Follows established policies and procedures by monitoring and ensuring compliance with regulatory requirements, organizational standards, and operational processes related to area(s) of responsibility and reporting violations or infractions to appropriate individual(s).

Practices proper safety techniques in accordance with Company, warehouse, and departmental policies, procedures, and standards by immediately reporting any mechanical or electrical equipment malfunctions, employee/visitor injuries or accidents, or other safety issues to appropriate individual(s).

Identifies areas for improvement and offers suggestions to improve the site's efficiency, profitability, and productivity.

Keeps abreast of current changes in technology, logistics tools, processes, and standards within the industry and area(s) of responsibility by attending internal and external training programs and by accessing other sources of information, and applies knowledge and practices to area(s) of responsibility.

Work Hours (may vary by state or location):

This position is scheduled as a full time. Hours of operation vary by site and shift. Must be available to work on weekends when scheduled and must be able to perform the essential job functions unaccompanied.

Qualifications:

Education/Experience:

  • Minimum of 2 years of experience in a Front Desk, administrative, or office support role.
  • Previous experience in a warehouse setting or a similar dynamic environment is highly desirable.
  • Demonstrated proficiency in using office software such as Microsoft Office Suite.
  • Experience in coordinating with various stakeholders, including vendors, employees, and management.
  • Knowledge of basic safety protocols and procedures in a warehouse or industrial setting.

Language Ability:

Demonstrated ability to read, write, and communicate effectively to comprehend and complete legal documents, and answer questions in English. Ability to write routine reports and correspondence. Bilingual in Spanish.

Math Ability:

Demonstrated mathematical skills necessary to add, subtract, multiply, and divide numbers, decimals, and fractions, and calculate percentages.

Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills:

Demonstrated proficiency in Microsoft Word, Outlook, Excel, and Microsoft TEAMS. Have knowledge of spreadsheet management programs in order to complete required reports and employment documents. Proficiency and fluency in using the internet and navigating the internet and websites.

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copiers, scanners, fax machines, and filing cabinets.

Some offices may be located within the warehouse. Incumbents that work in the unconditioned warehouse environment temperature may vary in some parts of the warehouse (cooler/freezer), but also have frequent exposure to outside elements where temperature, weather, odors, and/or landscape may be unpleasant and/or hazardous. You’ll be working around moving machines – order pickers, stand-up forklifts, turret trucks, and mobile carts. Depending on the weather, temperatures can be over 90°F in the truck yard or inside trailers.

While performing the duties of this job, the employee is regularly required to use hands to finger, type, handle or feel objects, talk, and hear. Incumbents must be able to physically access all exterior and interior parts of the warehouse and amenities.

Must be able to push, pull, lift, carry, or maneuver weights of up to twenty (20) pounds independently and fifty (50) pounds with assistance. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Routine, local travel may be required to attend training classes, conduct market research, or other situations necessary for the accomplishment of some or all of the daily responsibilities of this position.
