Overview:
We are seeking a highly organized and detail-oriented Office Assistant to join our team. As an Office Assistant, you will play a crucial role in ensuring the smooth operation of our office. This position requires strong computer literacy, excellent phone etiquette, and the ability to handle administrative tasks efficiently.
Responsibilities:
- Greet and assist visitors in a friendly and professional manner
- Answer phone calls and direct them to the appropriate staff members
- Schedule appointments and manage calendars
- Perform general administrative tasks such as data entry, filing, and photocopying
- Maintain office supplies and inventory
- Assist with organizing and coordinating meetings
- Handle incoming and outgoing mail and packages
- Provide support to other departments as needed
Skills:
** MUST be fluent in both English & Spanish**
- Strong computer literacy, including proficiency in Microsoft Office (Excel, Word)
- Experience as a receptionist or in a similar role is preferred
- Excellent phone etiquette and communication skills
- Ability to multitask and prioritize tasks effectively
- Attention to detail and accuracy in data entry and record keeping
- Knowledge of administrative procedures and basic office management principles
- Experience with calendar management and scheduling appointments
- Familiarity with Front Desk operations in an office is a plus
