Join our Front Desk Team at Venue Residences!
Primary Duties:
- Maintain complete knowledge at all times of move-ins and move-outs, elevator reservations, vendor visits, resident requests, package deliveries, maintenance issues and general building information.
- Detailed note-taking and pass-down of information from one shift to the next on all information related to running of the property. Reviewing the notes from previous shifts to follow up on tasks.
- Escort or direct all residents, visitors and vendors to their desired location in the building with a knowledgable, friendly attitude.
- Obtain general knowledge of community floor plan types and amenities to communicate to prospective residents. Able to gather contact information from prospects.
- Intake and organize all incoming packages, instruct parcel vendors on package locker use and best practices as well as maintain the cleanliness and order of all package areas.
- Resident package delivery for oversized items, to ensure orderly package room. Must be able and willing to lift and maneuver moderately heavy items onto and off of bell carts.
- Manage coffee/beverage stations to ensure all items are stocked, organized properly and aesthetically pleasing.
- Work cohesively and communicate efficiently with a rotating additional team member.
- Constantly maintain a positive, calming presence in the grand lobby ensuring leasing prospects, residents and their guests feel warm and welcomed.
- Property Walks: Ensure the utmost cleanliness of all public-facing areas both internal and external, and note any functional or cosmetic defects, which should be promptly taken care of or reported to the right departments.
- Must have follow-through and the initiative to follow-up with requests and tasks unprompted by management.
- Utilize all functions of computer system according to established procedures and standards. General excel spreadsheet and Apple-product proficiency highly sought. Will be using community management software such as Yardi.
- Maintain our high presentational standards in regards to uniform and personal hygiene.
- Maintain utmost residential and internal company confidentiality.
- Be responsible for the safety and security of Front Desk technology including but not limited to an iPhone, two Macbooks and an iPad.
- Be open to assisting Management and Leasing team with outside projects as necessary.
Qualifications We Look For (but not required):
- At least 2 years of similar role or customer service facing role.
- Must be okay with multi-tasking, attentiveness and managing downtime efficiently. We expect all inquiries to be answered professionally and in a timely fashion.
- Strong problem solving skills and conflict resolution. We want employees who don’t need to be babysat and will take in upon themselves to solve problems where suitable.
- Detail oriented, articulate and ability to multi-task in a high-volume and demanding work environment.
- Strong communication skills and ability to understand and follow written and verbal instructions.
- The Front Desk Team Member may be required to work evenings, weekends and holidays as needed. Schedule requests are respected but not guaranteed.
Physical Expectations
- Must be able to seize, grasp, turn and hold objects with hands.
- Fast paced movements are required to go from one part of the community to another.
- Occasionally kneel, bend, crouch and climb as required.
- Lifting medium-heavy items on and off of bell carts may sometimes be required.
