NorthStarr Cardiothoracic Surgery is seeking a highly qualified Full Time Front Desk (8am-5pm).
The position of Front Desk is day-to-day general office duties receiving incoming telephone calls, including filing, faxing, and data entry. You will need to have strong organization skills, high energy, willingness to be flexible, excellent communication skills, making sure patient intake forms have been completed, scheduling post op or follow appointments including but not limited to phone system, office equipment and computer systems.
Major Responsibilities/Tasks:
- Promptly and professionally answers telephone calls in a courteous manner. Routes calls appropriately, offering voice mail, paging, or redirection of calls as needed
- Welcome patients/clients/visitors, determines the purpose of visit and directs them to appropriate person.
- Facilitates patient flow and communicates delays with patients and clinical staff.
- Schedule patient appointments – post operative and follow up appointments.
- Obtain accurate information from patients, ID, insurance cards, ensure all registration forms are complete and maintain patient confidentiality.
- Collect patient co pays at time of check in.
- File records in appropriate sections of patient charts, keeps patient charts in proper order and file patient charts when completed for the day.
- Transcribe letters and create forms as needed – return to work and appointment letters.
- Copy patient information and forward to requesting party after receiving appropriate consent to release medical records.
- Maintain reception and patient waiting areas, office files/records files records in a clean and organized confidential manner.
- Maintain organization and efficiency of front office, including office supply inventory.
- Performs other related duties as directed or assigned.
Education: High school diploma or equivalent.
Required Experience:
- Minimum 1 year experience in the medical field, knowledge of EPIC a plus
- Must work well under pressure with a willingness to change directions in order to make patient care top priority.
- Must have strong interpersonal and communication skills.
Knowledge:
- Knowledge of staff responsibilities to accurately direct callers.
- Knowledge of basic modern office procedures.
Skills:
- Ability to use multi-line phone system, including transferring calls and paging.
- Ability to exercise a high degree of diplomacy and tact while multi-tasking, organizing and scheduling patients.
- Ability to use word processing software.
- Adequate hearing to answer phone and speak with patients
- Ability to speak clearly and loudly enough to be heard by callers and patients.
Abilities:
- Ability to works well under pressure with minimal supervision.
- Ability to triage information to route calls to the appropriate person.
- Ability to prevent, calm, and/or defuse irate callers and patients working with them to identify concerns and properly directs calls.
- Ability to competently use Microsoft Office, including Word
Equipment Operated: Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.
Work Environment: Well-lighted medical office or reception area. Work may be stressful due to a busy office.
Mental/Physical Requirements: occasional standing, walking, reaching and lifting. Periodic stress occurs from handling many calls and dealing with patient requests.”
