Job Summary:
The Foundation Development Associate plays a crucial role in managing the financial contributions of the organization, including donation recording and account reconciliation. With a focus on enhancing community engagement and meeting financial goals, this position involves overseeing fundraising software, updating donor records, tracking campaign finances, and producing financial reports. The associate also represents the foundation at events, manages event budgets, and maintains relationships with donors and sponsors.
Key Responsibilities:
- Prepare weekly bank deposits and reports, process pledges, payments, and donations.
- Log deposits in QuickBooks, assign to specific programs, input checks, and balance monthly statements.
- Generate end-of-month reports for directors, finance offices, and treasurers.
- Enter checks and invoices in QuickBooks, reconcile monthly statements.
- Produce quarterly and annual accounting updates for the Foundation Board of Directors.
- Conduct basic financial tasks related to donations and grants.
- Digitally file and scan paperwork, documents to the network, donor database, and QuickBooks.
- Participate in meetings, document discussions, take notes, and prepare meeting minutes.
- Support the Foundation Director and Board with administrative tasks and organization.
- Update the website, build event pages, and integrate donation forms.
- Execute marketing for all programs and events, including social media posts and email blasts.
- Manage the donor database, record and code donations, send acknowledgments and tax receipts.
- Build and maintain relationships with donors and sponsors, handle communications and inquiries.
- Innovate and streamline processes, assess event outcomes for future improvements.
- Organize and manage fundraising activities, develop event plans, timelines, and budgets.
- Recruit and oversee event volunteers and staff, align events with organizational goals.
- Manage all aspects of event logistics, plan, execute, set-up, and clean up fundraising events.
Education:
- HS or GED (Required).
- Associates or bachelor's degree in accounting or similar subject with a combination of experience and education (Preferred).
- Bachelor's degree in a similar area with internships in accounting, non-profit, development, or a related field (Desired).
Experience:
- 3-5 years in a comparable role (Required), or:
- Associate's degree in accounting, development, or a related field plus 2 years of relevant work experience.
Required Skills and Abilities:
- Expertise in QuickBooks or equivalent.
- Thorough knowledge of Microsoft Office Suite.
- Prior experience in accounts payable/receivable or equivalent education.
- Experience in online payments or e-commerce.
- Elementary WordPress editing abilities.
- Proficiency in managing a Customer Relationship Management (CRM) database.
- Familiarity with NXT/Blackbaud.
- Ability to review and edit materials, process accounts receivables, reconcile invoices, batch ACH payments, and maintain accurate financial records.
- Management of budgets and coordination of vendors, sponsors, and volunteers.
- Strong leadership abilities, excellent organizational skills, and a positive, can-do attitude.
