Position Summary:
This position provides office and secretarial support to the Food Service Department. The responsibilities include processing correspondence and reports, answering the telephone, providing information to callers and forwarding calls to proper locations. The position performs a variety of other secretarial and clerical duties and promotes positive public relations for the district.
Primary Responsibilities/Duties:
• Works cooperatively with other office staff to coordinate the operation of the office. Answers and responds to telephone and in-person inquiries. Provides information or revaluates inquires, routes calls to appropriate staff members and take messages.
• Composes/processes correspondence, forms, memorandums, bulletins, reports, and other documents. Obtains, organizes, and summarizes data as requested.
• Opens, sorts, and distributes mail for department and district. Maintains follow up files and responds to routine requests.
• Sets up and maintains departmental files.
• Makes meeting and conference arrangements, takes minutes, prepares required forms, composes, and distributes material and agendas and sets up meeting rooms.
• Makes appointments, keeps calendars, and coordinates schedules. Follows up on work in progress.
• Assists in procurement and inventory processes for the Food Service program by processing orders, receiving shipments, and maintaining records in data management systems.
• Assists in data management used for sorting Food Service shipments of supplies and materials for distribution throughout the district.
• Assists school staff in maintenance of breakfast and lunch program records including free and reduced priced program documentation.
• Maintains Food Service computer system.
• Sets priorities for work. Communicates with supervisor concerning conflicting deadlines.
• Provides support to Food Service Manager in maintaining efficient management systems including state reimbursement claims for federal funding. Ensures all records and supporting documents are maintained in accordance with federal, state, and local laws and policies.
• Maintains records on receiving, issuing and inventory of federal commodities.
• Provides assistance to Food Service Director for monthly menu preparation and catering.
• Provides assistance to school program staff in marketing the school food and nutrition program.
• Performs other duties as assigned.
Education/Experience:
- High school diploma or equivalent and applicable college or business school training required.
- Three years office, clerical, and secretarial experience required.
- Alternative combinations of advanced training and experience may be substituted.
Certificates/Licenses:
- Possess a current State of Washington Department of Health Food Handlers Permit.
- Valid WA State Driver's License
Knowledge/Skills/Abilities:
• Knowledge and ability in general office, telephone and clerical practices and procedures.
• Knowledge of general bookkeeping procedures and ability to make accurate mathematical calculations and maintain accounting spreadsheets.
• Knowledge of US Department of Agriculture National School Lunch Program requirements.
• Understanding of basic principles of Food Service sanitation and safety for equipment, personnel, food, and facilities.
• Good language, grammar and math skills.
• Ability to use and stay current with standard office technology, including office machines, computer and software programs.
• Keyboarding, editing, data entry, and formatting skills.
• Ability to set up and maintain accurate electronic and hard copy filing systems.
• Ability to organize activities, attend to detail, and follow tasks through to completion.
• Ability to work effectively under pressure and be flexible to meet deadlines.
• Good communication and listening skills
• Possess the desired characteristics of common sense, tact, diplomacy, good judgement, and a courteous manner.
• Ability to exercise good judgment and make effective decisions concerning emergency situations.
• Maintain high level of confidentiality.
• Ability to work accurately and independently with minimal supervision or work in a team environment.

• Ability to positively and effectively represent the school district to office visitors and telephone callers.

• Ability to read and interpret documents, such as safety rules, operating, and maintenance instructions and procedure manuals.
• Ability to apply common sense understanding and problem solving skills to carry out instructions in written, oral, or diagram form.
• Ability to perform duties with awareness of all district requirements and board of education procedures.
• Ability to transport food items between buildings as needed.
Physical Demands/Work Environment:
While performing the duties of this job, the employee will continuously sit and occasionally work in temperatures below 10 degrees. The employee will repeat the same hand, arm or finger motion such as when typing. The employee is occasionally required to stand, walk, and reach with hands and arms. The employee is continuously required to interact with public and staff while meeting multiple demands from several people. The employee must occasionally life and/or move up to 40 pounds. Specific vision abilities required by this job include close vision, such as to read written or typed material.
The noise level in the work environment is usually moderate. Work is usually performed indoors.
