Overview
The Department of Buildings & General Services (BGS) is seeking an Administrative Coordinator for the Fleet Management Program. The Administrative Coordinator (AC) is responsible for vehicle replacement planning, vehicle procurement, vehicle equipment procurement, developing vehicle specifications and total cost of ownership assessments, asset inventory and records management, fleet utilization and rightsizing evaluations, computation of vehicle lease rates, preparing lease agreements, billing support and data management.
Duties include, but are not limited to:
  • Plans, coordinates, and organizes the purchase of vehicles, performs lease rate calculations, and prepares lease agreements.
  • Works with various agency customers to assess transportation needs, vehicle assignments and establish lease terms.
  • Prepares vehicle titling and registration documents and track to ensure compliance with DMV requirements.
  • Manages asset inventory records and records vehicle attributes, billing codes, and assignments within the fleet management information system.
  • Generates and reconciles monthly fleet lease and fuel invoicing.
  • Prepares pertinent reports and responds to requests for assistance or information from agency customers.
  • Manages vehicle accident reporting, coordinates repairs, and works with Risk Management Division to resolve insurance claims.

The ideal candidate will have the ability to work collaboratively with various customers to assess transportation needs.
This is a full-time position located in Montpelier, VT. The Fleet team consists of the manager, eight full-time technical and clerical employees, and two temporary employees. The position may occasionally require work outside of regular business hours to address emergent situations. There is an expectation for high level of tact and diplomacy associated with all Fleet program positions.

Environmental Factors
Work is performed in a standard office setting, but some travel may be required, for which a private means of transportation is required.
Minimum Qualifications
Four (4) years or more of administrative experience that includes duties related to asset management, accounting, or finance.
Preferred Qualifications
Associate's degree or higher in business, accounting, or related field.
Experience using VISION and/or Assetworks FleetFocus fleet management software.
Ability to manage data housed within a complex database.
Ability to learn new computer programs.
Ability to read and understand policy/statute.
Ability to understand vehicle specifications.
Special Requirements
A valid driver's license is required.
