Job Summary
The University of Massachusetts Donahue Institute (UMDI) Finance and Administration Manager provides financial, administrative, programmatic, and personnel management to UMDI business units, directors, and the Central Administrative Services Unit (CASU).
Essential Functions
  • Performs financial analysis, research, reporting, and risk management assessment to provide strategic guidance to business unit directors on all aspects of business unit financial health and management, while remaining compliant with Federal, State and University regulations.
  • Manages a broad range of financial duties to include the preparation, presentation, and reconciliation of project and business unit documents for the purposes of, among others, reporting to the Executive Team quarterly on business unit fiscal health.
  • Collaborates with director(s) and senior staff on proposal development and management, to include the creation of budgets, proposal related documents, and sub-recipient communications, as applicable.
  • Develops and manages contracts, sub-recipient awards, and related documents, communicating directly with the appropriate parties in relation to and including negotiation of contract terms and conditions, scope, and budget.
  • Monitors project progress for the completion of milestones in order to ensure timely invoicing and payments, client satisfaction with administrative management, and reconciliation of all expenses through closeout.
  • Conducts business unit cost analysis for distribution of shared expenses among sponsored and non-sponsored projects and manages expense distribution actions.
  • Performs complex computations and makes determination of labor allocations required for personnel actions (e.g. promotions, negotiated pay increases, equity increases, etc.).
  • Manages new hire recruitment processes, assignments and completion of all personnel actions, and responds to inquiries about personnel related issues as appropriate.
  • Provides financial management services to CASU as assigned.
  • Participates on a cross-collaborative team of finance and administrative professionals to ensure that services are provided, and efficiencies and process improvements opportunities are identified and implemented. Supervises the Fiscal Support Specialist. Coaches and works to develop direct reports toward their professional goals.

Other Functions
  • Participates in business unit, CASU, and UMDI-level meetings.
  • Supports staff training related to various financial transactions and processes.
  • Participates in University trainings, as required.
  • Performs other support tasks, as directed.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)
  • Bachelor's Degree and more than three (3) years' related experience. Post-secondary professional business or accounting certification and more than seven (7) years' experience in managing business finances may be substituted for a Bachelor's Degree.
  • Strong working knowledge of Microsoft Office products including (MS Outlook, MS Word, MS Excel).
  • Demonstrated ability/experience in the following areas:
  • finance management including project or account monitoring.
  • understanding and learning complex financial concepts.
  • strong organizational, analytical and communication skills.
  • meeting the demands of complex professional environments where timelines and availability of information is considered critical.
  • attention to detail and a high level of accuracy.
  • exercising discretion in handling confidential information and material.
  • working independently and as part of a team with varying amounts of support.

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)
  • Degree in one of the following academic disciplines: Business Administration or Accounting.
  • Experience with automated accounting systems, including knowledge of financial and personnel systems (e.g. PeopleSoft, Summit).
  • Understanding of state and federal funding streams.
  • Functional knowledge of financial management of grants and contracts from numerous funding sources, and of the Office of Management and Budget Uniform Guidance.

Physical Demands/Working Conditions
  • Multiple hours in a stationary position while using office equipment and computers.
  • In office environment is busy, collegial, and may result in multiple interruptions. If remote work is performed, must maintain a home office, with high-speed internet access, sufficiently free of distractions to allow work to be done.
  • Must have the ability to occasionally travel to the Hadley office on as as-needed basis at own expense.
  • Ability to move and transport items up to 20 pounds from one location to another.
  • The physical/mental demands and work environment factors described above are representative of those that must be met by an employee to successfully perform the essential functions of this job.

Additional Details
  • This is a full-time, benefited position.
  • This position is funded by grants and contracts and is contingent upon funding.
  • Applicants must be work authorized for employment in the U.S. on a full-time basis.

  • Re-balancing of workload may result in a change to business units supported, direct supervisor, and direct reports.

Work Schedule
  • Standard full time work schedule consisting of five eight-hour days and 40 hours each workweek. Work performed in addition to the regular work hours may be necessary and may require a change in availability at specific times to accommodate for variations in work demands.
  • This position has the opportunity for a hybrid work schedule, which is defined by the University as an arrangement where an employee's work is regularly performed at a location other than the campus workspace for a portion of the week. As this position falls within the Professional Staff Union, it is subject to the terms and conditions of the Professional Staff Union collective bargaining agreement.
