The Facilities Specialist plays a crucial role in the efficient functioning of the Facilities and Construction team. Their responsibilities include overseeing maintenance service requests for campus facilities via the Arizona College of Nursing (College) workorder system portal (Service Channel). Furthermore, they are tasked with the supervision and upkeep of building infrastructure and equipment across the College’s campuses throughout the United States.
- Provide exceptional customer service to campus personnel by receiving and fulfilling their Repair and Maintenance (R&M) requests, including dispatching appropriate vendors, collaborating with landlord property managers at specific locations, monitoring the Service Channel platform, and entering service requests into landlord work order systems.
- Support the oversight of third-party maintenance contractors tasked with fulfilling work orders across our 24 campus locations, ensuring timely and top-notch service delivery.
- Engage in collaborative efforts with various teams, fostering in-person interactions whenever feasible. This includes coordination with IT, facilities, marketing, and regulatory affairs to synchronize schedules and workflow sequences, aligning with predetermined project milestones.
- Take charge of vendor selection within designated scope, overseeing payment approvals, and direct management of contracted vendors such as R&M tradesmen, local property managers, building engineers, security access providers, and furniture suppliers.
- Offer initial budget estimates and schedules for construction and maintenance projects, issuing progress updates as necessary concerning costs and timelines.
- Contribute insights to the company's OpEx and CapEx budget formulation process.
- Ensure all work adheres to pertinent building codes and safety regulations, meeting the specifications outlined by internal regulatory partners.

Must have:
- Possess three or more years of experience in facilities management and maintenance, with proficiency in utilizing work order management software.
- Proficient in collaborating with Landlords, building management organizations, and external contractors.
- Skilled in developing specifications for contracted facilities work and effectively managing vendors associated with such projects.
- Demonstrated ability to work collaboratively with others, coupled with a proactive, results-oriented approach.
- Proficiency in budgeting and cost tracking.
