Facilities & Security Assistant

Reinhart Boerner Van Deuren s.c. is a full-service business-oriented law firm headquartered in Milwaukee, WI with offices in Chicago, Rockford, Denver, Phoenix, Milwaukee, Madison and Waukesha with a national and international client base.

We are currently seeking a full or part-time Facilities & Security Assistant who will service all of our locations from the Milwaukee office.

Job Summary:

The Facilities & Security Assistant will aid with security and facilities functions in the Milwaukee office. Assist with security system administration and facilities concerns at the Firm’s regional offices as required. In the absence of the Facilities & Security Manager, communicate facilities issues to building management and external vendors and is responsible for notifying Reinhart employees of any potential issues or ongoing concerns.

Responsibilities vary but include:

• Space Planning/Office Assignments
  • Coordinate office moves as directed.
  • Prepare/audit space for all incoming lateral attorneys, summer associates or other new hires (i.e., order vendors to detail/clean space, ensure office furniture in place and in good working order, office supplies kit provided, pictures hung, etc.).
• Facilities
  • Complete daily review of all floors to identify maintenance issues, report issues to the Security & Facilities Manager, or in their absence, the building management or appropriate vendor and ensure repairs are completed in a timely manner.
  • Review incoming Facilities requests through the ticket system, complete or coordinate repair or escalate to Security & Facilities Manager, building management or appropriate vendor.
  • Partner with Security & Facilities Manager, and as needed, building management at Milwaukee office to arrange for engineering, maintenance services such as: elevator, HVAC, electrical/power, janitorial, building access, noise, construction, rubbish removal, special events/conferences, insurance certifications, and minor repair work.
  • Assist with coordination and oversight of outside vendors on repairs, rentals, services, etc., to ensure that building and maintenance services are provided in a timely manner and within budget (e.g., carpet repair/cleaning, painting, detail cleaning, shredding services).
  • Assist with light maintenance on office furniture, chairs and other Firm furnished fixtures as needed.
  • Issue access cards per policy including badge creation, auditing/review of inappropriate access attempts, and perform prompt termination of access as required. Assist, as needed, with employee termination process.
  • As directed by the Security & Facilities Manager, respond to special requests for access reports, review security tapes and investigate any security concerns as appropriate.

Qualifications:

Education

• High School Diploma/GED

• Three to five years
