Facilities Assistant
Alliance Defending Freedom is looking for a highly versatile and flexibleFacilities Assistantto join our Scottsdale, AZ office. As the Facilities Assistant, you are a vital part of the Facilities Team. In this role, you will report to and assist the Facilities Manager of Scottsdale and are responsible for day-to-day office operations duties as it relates to facilities. This position is a hands-on position for keeping our Scottsdale office neat, orderly, and stocked to serve the ADF team on a day-to-day basis. Your Essential Responsibilities:
In this position, you will:
Facilities:
- Assist in handling Facilities related Service Desk tickets, at the direction of the Facilities Manager.
- Keep Copy rooms neat and orderly, disposing of stray papers and wiping counters down weekly.
- Be responsible for conference room readiness, checking daily for neatness and that supplies are stocked.
- Bottled water, soft drinks, and meeting supplies.
- Assist with special conference room furniture arrangements and preparations for events and meetings taking place at ADF Scottsdale.
- Utilize Outlook to schedule conference room calendars with set up and tear down time-related to set up requests.
- Assist with office moves, supporting Team Members during the move process.
- Provide cable management for desks and work with IT on keeping office quality standards regarding cable management.
- Assist Facilities Manager with workspace configuration build-outs and changes as needed.
- Assist the Facilities Manager with projects to help organize storage and supply areas.
- Assist in identifying workspace standard concerns and reporting to Facilities Manager.
- Hang pictures and whiteboards, install keyboard trays, and assemble small furniture and equipment, at the direction of the Facilities Manager.
- Perform any light maintenance and housekeeping duties such as spot-cleaning carpet stains, unclogging toilets, changing light bulbs, and refilling of supplies.
- Learn and assist in managing Space IQ software for ADF Scottsdale space management.
- Look for ways to improve and take care of our team in the office environment.
Mailroom:
- Train in mail processing safety protocol and serve as backup to Mailroom Coordinator during vacation times.
- Assist Mailroom Coordinator during busy times to meet shipping deadlines.
Inventory/Asset Management:
- Inventory, stock, and maintain break room supplies and west kitchen supplies for Team.
- Keep bottled water stocked in lobby, break room Facilities fridge and conference rooms weekly.
- Conduct bi-weekly cleanout of Event fridge in break room, working with Event team.
- Assist in ADF Mini-Van maintenance by refueling and taking to be washed and vacuumed weekly.
- Respond to ADF Mini-Van Outlook calendar requests.
Miscellaneous:
- Special projects as assigned.
- Run errands for the Facilities team.
- Wear a radio daily and be available to communicate with Facilities Manager and Security about building activities.
- Learn and adhere to building security policies, being able to report concerns to the Facilities Manager or Director of Security.
Skills you need to succeed:
Knowledge of:
- Familiarity with office equipment (copiers, fax, printers).
- Basic knowledge of general maintenance procedures.

Education and/or experience:
