Job Description
Nexeo HR is seeking a highly motivated and detail-oriented Experienced Administrative Assistant in Ivins, Utah. The ideal candidate should be a self-starter, possess excellent organizational skills, and have some experience in accounting. This role involves managing various administrative tasks, including but not limited to calendar management, email handling, accounting responsibilities, electronic filing, and representing multiple companies.
Responsibilities
•Calendar Management: Efficiently manage the business owner's calendar, scheduling appointments, meetings, and events. Coordinate and prioritize appointments to ensure optimal time management.
•Email Management: Handle and organize emails across multiple accounts, ensuring timely responses and effective communication. Filter and prioritize emails based on urgency and importance.
•Accounting Tasks: Utilize accounting skills to manage accounts payable and receivable. Maintain accurate financial records, process invoices, and assist in financial reporting as needed.
•Electronic Filing: Implement and maintain an organized electronic filing system for easy access to documents. Ensure the confidentiality and security of sensitive information.
•Representation: Act as a representative for multiple companies, interacting with clients, partners, and other stakeholders. Maintain a professional and positive image in all interactions.
•Meeting Coordination: Directly schedule and organize meetings on behalf of the business owner. Ensure all necessary materials and information are prepared for meetings.
Qualifications
•Proven experience as an Administrative Assistant or in a similar role.
•Basic accounting knowledge and experience with accounts payable and receivable.
•Strong organizational and time-management skills.
•Excellent communication skills, both written and verbal.
•Proficient in using office software and electronic communication tools.
•Ability to multitask and prioritize tasks effectively.
•High level of discretion and ability to handle confidential information.
Pay
$20.00 Per Hour
Schedule
8:00am – 5:00pm | Monday – Friday
