Job Summary

We are seeking a highly skilled and experienced Executive Travel Agent to join our team. The ideal candidate will be responsible for managing all aspects of travel arrangements for C-suite executives within our organization. This role requires exceptional attention to detail, strong organizational skills, and the ability to provide unparalleled customer service to our executive team.

Responsibilities:

  • Coordinate all travel arrangements for C-suite executives, including flights, accommodations, ground transportation, and any other special requests.
  • Utilize industry knowledge and resources to identify the best travel options and accommodations that align with executive preferences and company policies.
  • Proactively manage travel itineraries, ensuring all details are accurate and up-to-date, and communicate any changes or updates to executives in a timely manner.
  • Handle all aspects of travel logistics, including booking flights, hotels, rental cars, and other transportation as needed, while optimizing for cost efficiency and convenience.
  • Act as the primary point of contact for executives regarding travel-related inquiries, providing personalized assistance and resolving any issues or concerns promptly.
  • Stay up-to-date on travel industry trends, regulations, and best practices to provide informed recommendations and solutions to executives.
  • Collaborate with other departments, such as finance and administrative teams, to ensure compliance with company travel policies and procedures.
  • Maintain accurate records of client interactions, travel expenses, receipts, and invoices, and reconcile expenses in a timely manner.
  • Handle emergency situations and last-minute changes with professionalism and efficiency, providing support and assistance to executives as needed.
  • Provide exceptional customer service and support to executives, anticipating their needs and preferences to deliver a seamless travel experience.

Qualifications:

  • Bachelor's degree in Hospitality Management, Travel & Tourism, Business Administration, or related field preferred.
  • Proven experience as a TRAVEL AGENT or travel coordinator, with a focus on booking travel for C-suite executives or high-profile clients.
  • Strong knowledge of travel industry trends, destinations, and suppliers, with the ability to make informed recommendations and decisions.
  • Excellent communication skills, both verbal and written, with the ability to interact confidently and professionally with executives and external partners.
  • Exceptional attention to detail and organizational skills, with the ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Proficiency in travel booking systems and software, such as Sabre, Amadeus, or Concur, as well as Microsoft Office Suite.
  • Strong problem-solving skills and the ability to remain calm under pressure, especially during emergency situations or travel disruptions.
  • Flexibility to work outside regular business hours as needed and availability to assist with after-hours or weekend travel emergencies.
  • Professional demeanor and discretion when handling confidential information and sensitive executive matters.
  • Commitment to providing outstanding customer service and ensuring the highest level of satisfaction for executives.
