JOB DESCRIPTION
TITLE:
EXECUTIVE SECRETARY TO THE SUPERINTENDENT AND BOARD OF TRUSTEES
REPORTS TO:
SUPERINTENDENT
TERMS OF EMPLOYMENT:
260 DAYS/YEAR
SALARY RANGE: CONFIDENTIAL SALARY SCHEDULE E
$29.63 - $41.70 EMPLOYER/EMPLOYEE PAID
$25.03 - $35.20 EMPLOYER PAID PERS

SUMMARY OF POSITION
The position requires performance of highly confidential, complex and diversified office support work of moderate to considerable difficulty involving para-professional level secretarial and staff assistance work. The position requires considerable knowledge of District policies, regulations, and functions to provide relief to both the Superintendent and the Board of Trustees from paperwork so that both may devote maximum attention to the central problems of their respective responsibilities.
RESPONSIBILITIES AND ESSENTIAL FUNCTIONS
  • Assist in the preparation of agendas; maintaining annual list of standing or recurring agenda items, setting forth all known items of business to be considered at Board meetings and deliver meeting materials to Board members at least five days prior to meetings.
  • Write full and accurate minutes of all meetings of the Board and maintain public record.
  • Give public and legal notice of all meetings of the Board.
  • Transcribe dictation from a recorder and prepare related reporting documents.
  • Maintain Policy Manual on site, with school sites, and on website; tracking policies needing review and maintaining original revision files electronically.
  • Prepare correspondence, reports, notices, and other materials often involving technical or legal terminology and requiring a high degree of speed; type from dictation, draft or outline on a word processor.
  • Upon the direction of the Superintendent, supervise and evaluate the work of others involved in office support work; plan, organize and schedule the work of office support staff.
  • Obtain, gather, and organize pertinent data as needed, and put into usable form.
  • Maintain a regular filing system, and process incoming correspondence as necessary.
  • Obtain and provide information and give detailed explanation of policies, procedures, and programs; refer only the most complex or unusual questions to others.
  • Place and receive telephone calls and record messages.
  • Maintain a schedule of appointments and make arrangements for conferences and interviews
  • Use initiative in making suggestions and accomplishing tasks that will assist in the efficient operation of the Superintendent's office.
  • Order and maintain supplies as needed.

NON-ESSENTIAL FUNCTIONS
Perform other related duties as assigned.
WORK CONTACTS
The position requires frequent contact with administrators, school board members, teachers, other district staff, parents and the general public.
REQUIRED KNOWLEDGE, SKILLS & ABILITIES
Considerable knowledge of modern office practices, procedures and equipment; including knowledge of business English, grammar, spelling, vocabulary, punctuation and arithmetic; of school/department programs, organization, operations and specialized procedures and record-keeping. Good knowledge of the open meeting laws of Nevada and all agenda posting requirements. Skill in word processing, spreadsheet and/or database programs, accessing account, student and employee information within electronic systems, and use of standard office machinery.
ABILITY TO
Type 75 wpm or better.
Take and transcribe dictation (shorthand/speedwriting) at 90 wpm.
Operate a computer and related software including word processing, database and spreadsheets.
Ability to write with good grammar and spelling and to edit their work and the work of others.
Maintain budget for the Office of the Superintendent and the Board of Trustees.
Instruct, train, assign, direct and review the work of subordinates when directed by the Superintendent.
Display courtesy and tact in dealing with those contacted in the course of work.
Communicate effectively and provide clear explanations and answers, both orally and in writing.
Follow oral and written instructions.
Exercise independence and judgment in applying and following established procedures and precedents.
Meet deadlines.
Establish and maintain complete and accurate data gathering, recordkeeping and filing systems.
Gather data and prepare routine written and statistical reports and correspondence.
Maintain regular attendance.
SUPERVISION RECEIVED
Work is performed independently under general supervision of the Superintendent. The employee is expected to exercise initiative and judgment in planning and organizing work, completing assignments, and handling routine and unusual problems. The Executive Secretary is responsible to the Superintendent, who will at least annually evaluate the Executive Secretary's performance.
SUPERVISION EXERCISED
The employee in this position may provide immediate to general supervision to lower level office support employees at the direction of the Superintendent.
CONDITIONS OF WORK
Work is performed under the following conditions:
Light to moderate physical activity in a normal office environment is to be expected.Some evening work is required.
Exposure to climate controlled classroom settings to outside weather with temperatures ranging from mild/moderate to extreme cold/heat.May involve exposure to noise levels ranging from moderate to very loud and occasional to frequent time periods.May involve work in crowded environments.
Hazards:Office/Classroom furniture, playground/office equipment, communicable diseases, chemicals (as related to specific assignment), and power/hand operated equipment and machinery (as related to specific assignment).

ACCEPTABLE EXPERIENCE AND TRAINING
Five (5) years progressively responsible secretarial experience preferably in the public sector, involving highly confidential and administrative level experience, and high school graduation supplemented by college level course work in office management, business or a related field; or any equivalent combination of experience and training which provides the knowledge, skills and abilities to perform the work.
LICENSES/CERTIFICATES
Must possession of a valid Nevada's driver's license and have the ability to become a Notary Public. Accreditation as a Certified Professional Secretary (CPS) desired. PHYSICAL AND

EMPLOYEE PUNCTUALITY AND APPEARANCE
In order for DCSD schools to operate effectively, employees are expected to perform all assigned duties and work all scheduled hours during each designated workday, unless the employee has received approved leave. Any deviation from assigned hours must have prior approval from the employee's supervisor or building administrator. All employees are required to report to work dressed in a manner that reflects a positive image of DCSD and is appropriate for their position.
