Job description

Na Ali’i is looking for an Executive Operations ManagerPathway to Growth Opportunities to directly support the administrative and other operational needs of the CEO of the Nakupuna Companies.  This role serves to accelerate and streamline decision making across the organization, facilitate meaningful interactions among the Executive and Senior Leadership teams, and generally provides a wide range of support to the CEO and other members of leadership as required to ensure operations run efficiently. Given the dynamic nature of the executive landscape, the incumbent is expected to be flexible, agile, and professional while maintaining confidentiality of high-level interactions and verbal/written communications.  This position offers the qualified candidate a unique opportunity to support the Nakupuna Companies CEO, learn the organization and leadership styles, understand the business operations and leverage that opportunity to launch into a professional services career.


The following duties are representative of the essential functions for this job but are not comprehensive.  Additional duties and responsibilities may be assigned to this job at any time.

  • Support the CEO with information flows by creating and reviewing a wide range of professional presentations, correspondence, spreadsheets and analysis. Conserve executive time by reading, analyzing, and routing incoming emails and documents and synthesizing key information
  • Plan and orchestrate work to ensure senor executives’ priorities are met, organizational goals and objectives are achieved, and best practices are maintained
  • Maintain and refine internal processes that support executives companywide and coordinate internal and external resources to expedite and streamline workflows. Provide the requisite coordination to ensure alignment in executing process improvements
  • Assist in company-wide and external communications to include supporting the development of presentations and/or talking points
  • Support execution of special projects as directed by the CEO or other members of leadership
  • Liaise with internal staff at all levels and maintain strong working relationships. Collaborate with other administrative professionals in the organization to achieve executive objectives
  • Provide calendar management for the CEO, including meetings and meeting agendas, phone calls, client/partner engagements, travel and other company logistics. Maintain a strong strategic understanding of long-term and evolving business imperatives and proactively shape, develop, and prioritize the calendar accordingly
  • Answer phone calls and welcome visitors in a polite and professional manner
  • Maintain comprehensive and accurate records
  • Manage and complete all expense reporting for the CEO within the approved accounting periods. Periodically support expense reporting for other members of the executive team and work closely with accounting and other elements of the organization on travel planning, coordination, and reporting
  • Prepare and promulgate agendas and plan for executive and senior managers’ meetings as needed. Prepare and distribute minutes of meetings, as necessary

  • Obtain and keep current a Notary Public License
  • Provide general event and meeting planning support.
  • Occasional telework

Education and Experience:

  • Bachelor’s degree is strongly preferred.
  • This position requires at least three years of administrative experience preferably supporting an executive.
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite.
  • Knowledge of standard office administrative practices and procedures.
  • Experience in managing multiple calendars and performing travel logistics. 
  • Government contracting experience preferred.

Clearance: Not required but must be able to obtain security clearance if requested.

 

Physical Requirements: In addition to the skills and qualifications mentioned above, candidates must, at a minimum, be able to meet the following physical requirements.

  • Ability to lift up to 25 pounds
  • Ability to use stairs without assistance
  • Ability to perform repetitive motions with the hands, wrists, and fingers
  • Ability to engage in and follow audible communications in emergency situations
  • Ability to sit for prolonged periods at a desk and working on a computer
