Job description

The Executive Event Admin will support our VP and Assistant VP of Events. They will be responsible for multiple areas of the business, including administrative, calendars, team maintenance, and HR support functions. The Executive Admin will provide excellent verbal communication skills, good judgement, and strong time management skills to meet deadlines.

WHAT YOU'LL BE DOING - THE ROLE

  • Administrative Management:
  • Empowered to make administrative decisions and act on events requirements in the Vice President's absence within previously agreed-upon limits.
  • Work across multiple business units to support the overall success of Esler Companies.
  • Manage all expenses and expense reporting for the team.
  • Update organization charts and personnel information.
  • Keep the Events Leadership Team on target for deliverables.
  • Coordinate ordering of materials for the events departments.
  • Organize and maintain tracking of monthly performance numbers.
  • Coordinate gifts/flowers/snacks/catering as needed for meetings and other events.
  • Organize monthly meetings and coordinate any venue requirements.
  • Manage and submit schedules for secret shopper program.
  • Calendar Management:
  • Keep the team organized and on task through the active management/ownership of daily, weekly, and monthly schedules for VP and Events leadership roles.
  • Maintain daily, weekly, and monthly schedules for Events team. This includes scheduling or altering schedules as needed with training attendance, meeting attendance, holiday capacity, one-on-one meetings, or last-minute changes.
  • Book flights, rooms, cars and track trip itineraries for Events Management Team and any traveling Project Consultant. Coordinate travel arrangements and itineraries for any out-of-town visitors.
  • Team Maintenance:
  • Identify outstanding housekeeping items, whether local, operational, or companywide, and provide feedback and opportunities to the Events Management team. When asked, present these during the Events meeting.
  • Run requested reports as requested by the Events Leadership Team.
  • Schedule annual goal meetings and track teams goal sheets for the following year.
  • Attending all meetings and trainings. Responsible for meeting agendas, minutes, day of meeting requirements and meeting/training attendance.
  • Responsible for sending out weekly newsletters to Events leadership team.
  • Document management on Events SharePoint.
  • HR Management:
  • Support the new hire onboarding process ordering training books, kits, and IT equipment to support the new training classes, including iPads, corner cuts, sales samples and any other windows needed for the team. Distribute materials upon arrival.
  • Manage monthly PIPs based on metrics which includes creation of the document, scheduling of the meeting, management of documentation and ride along reports to management.
  • Assist in any employee files as needed by VP and Events Leadership Leam – Life events, etc.
  • Prepare confidential correspondence as needed.
  • Schedule all interviews and work closely with Talent Acquisition Partner
  • Checking out all terminated employees, ensuring all required supplies are returned per checklist. Issue all termination forms to HR. Inform Finance/Payroll, HR, and IT of termination and remove them from the system.
  • Other job duties as assigned.
  • Type, speak, & write daily.
  • Works regularly in an office setting.
  • Continuous sitting up to 8 hours a day

  • Experience & Education
  • College Degree or equivalent experience preferred.
  • At least 2 years in a senior level admin role; required.
