POSITION SUMMARY:

The Executive Director of Camping Services will lead the development, marketing, and implementation of programming and services to all residential summer camp participants and guests, in total our programs serve over 3000 youth and an annual budget of over $8.3 million. This will include the fields of staff supervision, fiscal management, parent relations/communications, and program design. A strong background in administration of overnight summer camp is required and previous experience supervising multiple programs is preferred. The ED will work to ensure that the Camping Services Department exceeds the expectations of the staff and customers while meeting the mission of the Department, Frost Valley and the YMCA.


ESSENTIAL FUNCTIONS:

  • Revamp, revise, and update camp offerings. Develop and implement new programs and create staff buy-in in conjunction with the Program Quality Department. Focus programs around relationship building, learning social skills, core values, the arts, and new outdoor experiences.
  • Collaborate with the CEO and COO to create a strong and cohesive vision for a progressive and robust overnight summer camp experience.
  • Collaborate with the Program Quality department to create and implement a vision for impact measurement. This will include a Program Logic Statement, data collection, measurement tools, evaluation of key performance indicators, and then a change process to insure the quality of the camp experience as needed.
  • Supervise and evaluate a team of five full time, year round Summer Camp Directors including the East Valley Director, the Tokyo Partnership Director, the Wawayanda Director, the Hird Director and the Adventure Director as well as over 500 seasonal staff and interns including a team of seasonal Directors, and other staff as necessary.
  • Champion adherence to all personnel policies while inspiring and leading a cohesive staff team, actively nurturing and enhancing morale to drive organizational success.
  • Create systems and implement training for staff around hiring, training, scheduling and payroll for all Summer Camp department staff. Implement best practices for staff hiring and onboarding. This includes seasonal international staff.
  • Function as the primary point person for all residential Summer Camp programs. This will include working some evenings and weekends, being on duty as needed and being on call on a regular basis during the summer months.
  • Be a leader for Frost Valley in equity, inclusion, social equity and belonging efforts. Actively seeks ways with programming and staff to advance DEI.
  • Create a comprehensive communication and customer service plan for residential Summer Camp participants and their parents. Build relationships with Frost Valley clients. Focus on maintaining a high retention rate for Summer Camp and creating year-round connections.
  • Work with our Guest Services Director and Registration Department to ensure a high quality registration experience for families. Manage Village numbers to maximize camper enrollment.
  • Work directly with our Partnerships Director to facilitate all Frost Valley Summer Camp partnerships. This includes but is not limited to the Young Adult Institute’s MAC program, Montefiore Hospital’s Kidney Camp, Frost Valley’s Newark partnership with the Boys and Girls Club, and many more organizations. Frost Valley also partners with several international organizations to have groups of children attend camp programs.
  • Create a fiscal strategy to allow all Summer Camps to produce a surplus. Complete profitability studies, create a multi year pricing strategy and look at expense growth and controls.
  • Work with Directors to develop an annual budget. Project income, control expenses and purchasing, and prepare monthly financial reports.
  • Meet or exceed budget while maintaining excellent program quality. Be prepared to drive camper enrollment and creatively pursue new revenue streams.
  • Collaborate with the Marketing Department to develop marketing, promotional materials, and advertising. Participate in the implementation of marketing strategies. Orchestrate monthly emails, attend camp fairs, and conduct open houses and home visits. Maintain a significant presence on the Web, Facebook, Twitter, etc on behalf of Frost Valley.
  • Administer all aspects of the Summer Camp financial assistance program.
  • Responsible for overseeing communication with all support departments in relation to all resident Summer Camp programs. This includes Food Service, Building Maintenance and Grounds, Health Services, IT, and Housekeeping. Create systems for efficient and timely communication.
  • Be an active member of the Program Director Team at Frost Valley. Responsibilities include attending staff meetings, helping shape camp policies, sit on additional committees throughout the year, and contributing to the success of all Frost Valley Program Departments.
  • Demonstrate good judgment in decision-making and willingness to abide by the Frost Valley Core Values (honesty, caring, respect, responsibility, community, stewardship, diversity, inclusion).
  • Responsible for executing the shared 2029 Strategic Plan.
  • All other duties as assigned.

Requirements:

QUALIFICATIONS:

  • Must be 25 years of age or older.
  • Bachelor’s degree in a related field or equivalent work experience. Master’s degree preferred.
  • Minimum of seven years of experience working in a camp or YMCA program setting.
  • Minimum five years of experience in a year round camp leadership and administration, and a supervisory role. Education and training related to camp in the immediate/previous three years.
  • Proven success with camper recruitment and retention, program development and implementation of new programs, staff supervision, budget management, and leadership of multiple camp programs.
  • Possess excellent communication and organizational skills. Be able to effectively make public presentations.
  • Be a strong leader and collaborate effectively with others.
  • Able to work in a team environment and cross function with other departments.
  • Be able to maintain a flexible schedule that may include working evenings or weekends, being on call as needed, and overnight travel periodically.
  • Be proficient with Google suite, Microsoft Word, Excel, PowerPoint etc.
  • Have a valid US drivers license and be able to drive for Frost Valley.


WORK ENVIRONMENT & PHYSICAL DEMANDS:

  • The employee must occasionally lift and/or move up to 50 pounds or more.
  • May be required to walk/sit for long periods of time.
  • Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust.
  • Employee may be required to traverse on rough terrain.
  • The noise level in the work environment is usually moderate.
