ORGANIZATION BACKGROUND

The mission of the San Diego Futures Foundation (SDFF), a local nonprofit 501c3 serving the entire county of San Diego County, is to improve people’s lives by making information technology available to underserved individuals, organizations and disadvantaged small businesses through training, education, technical services, and equipment. JOB SUMMARY

Reporting to the Board of Directors, the Executive Director oversees and is responsible for the effective management of all SDFF activities, programs, and oversees the day-to-day operations of the Foundation. The incumbent reports to the President of the Board to advise and/or receive direction on matters related to implementing Board directives or to receive appropriate level approvals (per Foundation policies). The incumbent performs overall strategic and long-term planning, effectively manages financial and personnel resources and performs delegated oversight of the Foundation’s operations through the unit directors/managers.

As the Executive Director, the role encompasses a broad spectrum of responsibilities, from the thorough evaluation and management of the Foundation's programs, staff, and financials to steering the operational aspects, including payroll and banking. This position not only involves overseeing all personnel decisions and guiding the team towards achieving the organization's performance and progress objectives, but also actively involves collaboration with community and organizational stakeholders. By initiating new programs, leading current services, and enhancing the Foundation's support and contributions to the community, the Executive Director plays a pivotal role in the organization's success. In fulfilling these duties, the Executive Director is expected to exemplify and uphold the core values and goals of the Foundation, its Board, and the community it serves, showcasing consistent leadership qualities and behaviors that resonate with these principles.

RESONSIBILITIES

1. Board of Directors – Administration, Direction, and Support

a. Supports the Board of Directors by advising and informing Board members at regularly scheduled meetings, through written reports, and other communications that inform Board Members of current initiatives, planning activities, financial/budgetary matters, and to provide high-level operational updates.

b. Establishes a clear and understandable vision and operational plans for the Foundation, engages with the community in the implementation of the vision/plans, and builds the operational/financial components necessary to execute the vision/plans.

c. Regularly confers with the Board President, recommends, creates, and implements operational plans; develops Board agendas and proposals; seeks and receives appropriate direction.

d. Communicates with the Board President regarding time sensitive or imminent financial, personnel, program, and IT systems problems that may substantively affect the Foundation’s operations and proposes/arranges for alternative solutions.

e. Works with a spirit of collaboration, inclusion, respect and collegiality with the Board and Board President. Takes ownership of issues and demonstrates accountability.

f. Ensures that the Foundation’s goals and operations align and support the overall mission of the Foundation and integrates Board input/direction to achieve the Foundation's strategic vision, activities, and programs.

2. Organizational Management & Servant Leadership

a. Encompasses an understanding of all functional, programmatic, and technical areas across the Foundation that requires a very high degree of expertise and knowledge.

b. Supports the Foundation’s mission through effective day-to-day management of programs and services that promote access to technology and foster inclusive digital learning programs to the community.

c. Oversees program activities and the delivery of services through continuous improvement, innovation, and development of cost-effective solutions that are consistent with SDFF’s mission and that are being executed within specified Board guidelines, contractual schedules, and budgetary commitments.

d. Identifies current and future challenges and proposes effective solutions and acts as a change champion and leads courageously by addressing difficult issuesin a collaborative environment.

e. Takes ownership of issues, demonstrates accountability, and empowers staff to make independent decisions at appropriate operational levels.

f. Provides leadership to, and oversight of all programs; identifies opportunities and implements enhanced services to the community.

g. Focuses Foundation resources to effectively meet operational outcomes.

3. Financial, Business Management, & Information Technology

a. Prepares and submits annual budgets for approval by the Board; prudently manages the organization's resources within those budget guidelines according to current laws and regulations.

b. Manages the Foundation’s business affairs, which include negotiating contracts, overseeing purchase activities, performance of banking and payroll functions, authorizing reimbursements, and maintaining inventories of equipment and materials.

c. Oversees all general and administrative activities; approves time and online attendance reporting/leave forms.

d. Performs delegated financial duties to include depositing funds and processing employee payroll in coordination with the Bookkeeper and Director of HR/Operations.

e. Consults with the Chief Financial Officer to insure proper business and program accounting and timely and accurate financial reports for Board review.

f. Works with the Foundation's auditors to support timely completion of the annual audit.

g. Possesses basic technical knowledge and a broad understanding of the Foundations core business applications and deployed technologies in all operational and program areas.

h. Oversees the functional and technical operations of critical IT systems maintained by the Foundation.

i. Ensures security and emergency preparedness procedures are implemented properly.

j. Ensures that the facility is clean and maintained in a manner that reflects well upon the Foundation, Board of Directors, and employee expectations.

k. Monitors contractors and checks that the work assigned to employees and contractors is completed in a satisfactory manner.

l. Responds quickly to emergencies that arise in the workplace and deals with them appropriately.

4. Human Resource Management

a. Facilitates an environment that motivates, empowers, and inspires commitment from employees.

b. Assumes good intent with one another and works on the premise of trust, demonstrating a commitment to creating and sustaining a diverse and inclusive workforce.

c. Directs, supervises, measures, and assesses the performance of people, teams and the overall organization in the performance of, and progress toward, the Foundation’s operational and strategic goals.

d. Works to resolve issues at the peer level and takes measures to mitigate future issues.

e. Creates an environment in which employees are recognized for their accomplishments and contributions to the success of the team and builds competence in others through effective coaching, performance management and mentoring.

f. Provides clear direction and ensures confidentiality around sensitive issues. Works to resolve issues at the appropriate level and takes measures to mitigate future issues.

g. Assigns work, supervises employees, and delegates responsibilities in accordance with Foundation policy and current laws and regulations.

h. Hires, reassigns, promotes, rewards, suspends, discharges and disciplines employees in consultation with the Director of HR/Operations, and as appropriate, in consultation with the President of the Board.

i. Demonstrates commitment to diversity.

5. Community Outreach and Public Relations

a. Develops partnerships with other nonprofits, governmental, and private organizations that may benefit from SDFF's programs and services.

b. Builds effective strategic alliances and collaborates with community and business partners in the achievement of the Foundation’s mission and joins with community partners around shared goals.

c. Initiates and develops strong working relationships with the community partners and recognizes the importance of collective strength, knowledge, and information.

d. Takes the necessary measures to solicit and influence internal and external support and actively solicits and acts upon feedback.

e. Gains support and commitment from others within SDFF and community partners; works to find common ground and group consensus.

f. Assures the Foundation and its mission, programs, products and services are consistently presented in a strong, positive image to relevant stakeholders.

g. Communicates effectively and with purpose, to a variety of audiences and individuals at all levels of technology knowledge and understanding including the ability to make formal presentations.

h. Delivers presentations and facilitates large and small group meetings.

6. Strategic and Annual Planning

a. Participates with the Board in the Foundation's Strategic planning; oversees preparation of strategy plans in conjunction with the Board, retaining responsibility for implementation.

b. Recommends, creates, and implements long and short-term strategic plan goals and operational plans.

c. Ensures that annual goals align with and support the overall mission of the Foundation and encourages organizational commitment to achievement of plans.

7. Fundraising, Grants, and Externally Funded Operations

a. Oversees fundraising planning and corporate giving including identifying resource requirements, researching funding sources, and establishing strategies to approach funders.

b. Researches grant opportunities from government and non-government agencies.

c. Drafts grant proposals and supporting documents based on the funding requirements of the organization.

d. Responds to internal and external queries on drafted and submitted proposals; request and write letters of support for proposals.

e. Maintains positive relationships with fund providers and other stakeholders.

f. Maintains records and submit reports related to grant opportunities and operations.

EXPERIENCE AND EDUCATION

A master’s degree and a minimum of five (5) or more years in a similar capacity, preferably in a 501(c)3 organization. The successful candidate will have experience with technology initiatives and programs; supervising staff and working with teams; outstanding communication skills; strong organizational skills; entrepreneurial skills; experience in nonprofit management. Demonstrated experience maintaining effective working relationships with the Board of Directors, staff and colleagues, funders and community partners. Combination of education and/or experience sufficient to develop a working knowledge of information technology systems, common business applications/services, and network/internet connectivity.

OTHER DESIRABLE ATTRIBUTES:

· California Drivers’ License and Automobile Insurance policy.

· Current resident of San Diego County.

· Prior management experience within a non-profit environment, preferably with a volunteer Board of Directors.

· Solid understanding of nonprofit financial management including tracking and spending restricted funds.

· Possess strong interpersonal skills that model the characteristics of a servant leader.

· Effective communication skills and demonstrated ability to comfortably and confidently communicate with technical and non-technical individuals, including public speaking in community/public event settings.

· Demonstrated work experience managing multiple teams within a diverse workforce.

· Experience with directing, supervising, motivating and inspiring others; measuring the performance of people, teams and organizations, and assessing performance and progress.

· Ability to define problems, establish facts, draw valid conclusions, establish clear priorities, and utilize sound judgment and discretion.

· Proven effectiveness in planning, managing, and obtaining funds from fund raising campaigns.

· Demonstrated ability to offer constructive opinions and alternative solutions to a problem and be supportive of the final decision once it has been made.

· Demonstrated ability to transition between strategic vision and operational details.

· Demonstrated ability to build strong alliances internally and externally with a broad range of individuals and coalescing support around shared goals and outcomes.

· Possesses knowledge of information technology systems and/or applications, experience with day-to-day business use of the Office 365 and Teams environment.

· Demonstrated ability to proactively work/lead in a diverse, multicultural environment.

· Excellent oral and written communication skills and successful negotiation and persuasion skills.

· Ability to communicate effectively and with purpose to a variety of audiences.

· Ability to identify current and future challenges and propose and implement effective solutions.

PHYSICAL JOB DESCRIPTION

The work environment is a typical air-conditioned open style office with desks and retail space with low-to-moderate sound levels. The position requires the employee to work outside of the office and to interact with external clients throughout San Diego County. The Executive Director will be provided with a Windows based PC, a desk telephone and office supplies to use for work related purposes. Physical tasks include typing and occasionally lifting small boxes less than 50lbs.

REPORTING

The Executive Director reports to the SDFF President (Board Chair) and works collaboratively with all members of the Board of Director, managers, and staff.
