ABOUT CITY HARVEST:

City Harvest is New York’s first and largest food rescue organization, helping to feed millions of New Yorkers who struggle to put meals on their tables. During our 40 years serving New Yorkers in need, we have rescued more than one billion pounds of fresh, nutritious food and delivered it free of charge to hundreds of food pantries, soup kitchens, community partners, and our own Mobile Markets across the five boroughs. This year, we will rescue and distribute more than 77 million pounds of nutritious food to our neighbors in need. City Harvest works alongside our community partners to boost community capacity, expand nutrition education, and strengthen local food systems. Since our founding in 1982, City Harvest has always been there to feed our city one day, one meal, one New Yorker at a time.

JOB OVERVIEW / WHAT A TYPICAL DAY MIGHT LOOK LIKE:

This position is comprised of two roles: as the primary executive assistant to the CEO and as the liaison who works with the CEO to manage the organization’s Board of Directors.

Executive Assistant:

  • Perform a broad variety of administrative tasks that include managing a busy calendar of internal and external meetings, processing expense reports, arranging business travel plans and itineraries, and creating agendas for internal meetings.
  • Ensure the CEO is provided with timely, accurate information and documentation for meetings, presentations, events, and business trips.
  • Help to manage written and electronic communications from the CEO by drafting and proofreading correspondence and editing and sending Board and major donor email messages on behalf of the CEO.
  • Work collaboratively with the Chief of Staff and the entire Executive Team to support a wide range of initiatives, projects, and meetings.
  • Respond to inquiries and requests for information in a timeline manner.
  • Maintain a high degree of discretion and confidentiality.
  • Manage the Executive Office departmental budget.

Board Liaison:

  • With the CEO, schedule and program Board and Board Committee Meetings.
    1. Create and distribute agendas
    2. Send calendar invitations to Board members and staff
    3. Create PowerPoint slide presentations
    4. Distribute meeting materials using an online board portal,
    5. Attend all meetings (in-person in Brooklyn or Manhattan or virtually), take notes and write/distribute meeting minutes.
  • Act as a “first point of contact” for members of the Board of Directors when they need information.
  • Maintain a high degree of discretion and confidentiality.

WHAT YOUR BACKGOUND SHOULD LOOK LIKE:

  • Strong knowledge of Microsoft Office suite (especially Word and PowerPoint) and Microsoft Teams
  • Writing, proofreading, and editing proficiency
  • Ability to communicate skillfully (by spoken word and via email) with staff at all levels of the organization, as well as Board members and major donors
  • Great attention to detail with strong organizational skills
  • Highly responsive, timely, accurate and thorough in follow-through
  • Strong ability to work proactively and take initiative
  • Positive, problem-solving focused attitude
  • Education – Bachelor’s Degree
  • Five to seven years of experience supporting a C-Suite executive. Nonprofit and nonprofit board experience is a plus.
