Executive Assistant
The National Indian Health Board (NIHB) seeks an Executive Assistant who will contribute to work that impacts the health and well-being of millions of American Indian and Alaska Natives (AI/ANs). Reporting to the Chief Executive Officer (CEO), the Executive Assistant will provide administrative and special project support to the CEO, while also serving as the administrative and operations liaison to the Board of Directors on behalf of the CEO. This hourly, full-time position is based in our Washington, DC office. Up to 15% travel is required.

POSITION RESPONSIBILITIES
- Anticipates, prioritizes and prepares CEO for travel, meetings and presentations, and tracks meeting follow-up tasks.
- Screens CEO phone calls, emails, mail and visitors; routes and resolves information requests, and keeps track of documents requiring signature.
- Coordinates meetings for CEO, including contacting identified attendees and preparing logistics, providing meeting purpose and attendees pre-meeting report, collecting, organizing and photocopying and binding briefing materials, assisting with follow up, and providing other administrative assistance.
- Maintains the CEO’s calendar, travel and expense reimbursements, and timesheets.
- As Board liaison, assists CEO with Board communications, as well as Board meeting planning, logistics, travel arrangements, reimbursement and coordination of audio/visual/telecommunications equipment needed during Board meetings.
- Records and produces Board meeting minutes and action items after Board meeting conclusion.
- Creates and maintains Board records, including resolutions, agendas, letters, memoranda, and briefing books.
- Manages Board of Directors calendar of events and provides reports on grant-funded Board of Directors activities.
- Maintains contact lists for Tribes/Tribal Leaders, Board of Directors, Area Health Board Executive Directors or other principal contacts.
- Assists as needed, in the coordination of national conferences, trainings, briefings sponsored by NIHB, and other organizational events.
- Performs other related duties as assigned.
REQUIREMENTS
- 3 years of professional experience as an administrative assistant or in a similar role is required. The ideal candidate will have spent time as an Executive Assistant or Scheduler on Capitol Hill, for the Administration, or a similar size Tribal organization.
- High school diploma required. Bachelor’s degree in a related field preferred. Highly proficient in Microsoft Office/Office 365 Suite, including Outlook, Word, Excel, PowerPoint, and SharePoint.
- Experience with a variety of video conferencing software.
- Ability to exercise discretion with and protect the confidentiality of organizational information.
- Excellent verbal and written communication skills.
- Extremely organized and meticulous with details.

Pay: $43.27 - $50.48 per hour
